The Operation Manager for the coffee shop is responsible for overseeing the day-to-day operations, ensuring efficient functioning, and maintaining high-quality customer service. This role requires strong leadership, organizational skills, and a deep understanding of the coffee shop industry.
Key Responsibilities:
Operational Efficiency:
- Monitor, supervise and manage daily operations to ensure smooth workflow and adherence to established standards.
- Develop and implement efficient operational processes and procedures.
- Conduct regular assessments to identify areas for improvement and implement necessary changes.
Staff Management:
- Recruit, train, and manage a team of baristas, servers, and support staff.
- Handling work schedule and other HR duties to support staff in meeting operational needs.
- Coordinate staff schedules and assignments to ensure efficient service during peak hours.
- Provide ongoing training and development opportunities to enhance staff performance.
- Supervise and handle all staff issues as required.
Customer Service:
- Maintain a customer-centric approach by ensuring exceptional service quality.
- Handle customer feedback and complaints, ensuring timely and satisfactory resolutions.
- Implement strategies to enhance customer satisfaction and loyalty.
Inventory and Supply Chain Management:
- Oversee inventory levels, order supplies, and manage vendor relationships.
- Create inventory management system measures for optimal usage of resources.
- Monitor product quality and ensure compliance with health and safety regulations.
- Implement effective waste management practices.
- Managing deliveries, dispatch and all logistics related issues.
- Research and develop methods to improve supply chain.
· Handle comprehensive inventory and supply management, encompassing all aspects of packaging logistics such asprocurement, production, distribution, regulatory compliance, cost efficiency, sustainability optimization, supplier coordination, and inventory management.
Financial Management:
- Develop and manage budgets, ensuring cost-effective operations.
- Monitor sales, expenses, and profitability, taking corrective actions as needed.
- Analyze financial reports and provide recommendations for business improvement.
- Managing cash and cash equivalents in the store.
Compliance and Safety:
- Ensure compliance with local and international food safety and hygiene standards.
- Stay updated on relevant regulations and ensure the coffee shop operates within legal boundaries.
Marketing and Promotion:
- Implementing measures to increase sales opportunities.
- Monitor marketing campaigns and assess their impact on business performance.
- Collaborate/ working with marketing team/ third party to highlight seasonal products/ seasonal content/ execute promotional activities.
- Creating/ providing feedback with regards to marketing content and marketing activities.
- Supervising third parties such as photographer/videographers for social media content.
Training and Coaching:
- Training sales team to cross sell and upsell items.
- Showcasing techniques of how sales staff is to respond to various queries by customers.
Facility Maintenance:
- Oversee maintenance and cleanliness of the coffee shop premises.
- Coordinate repairs and renovations as needed.
Dining area and dining experience: Oversee layout and arrangement of seating to maximize space and comfort. • Maintain a welcoming atmosphere by monitoring cleanliness, décor, and background music levels. • Service standards The operation manager sets and enforces high standards, ensuring that all staff members provide attentive, courteous, and efficient service to enhance the overall dining experience. • Quality control They oversee the quality of food presentation , ensuring that dishes are served as per the established standards, and monitor the ambiance, making adjustments as needed to create a pleasant and

Reporting:
- Preparing weekly, monthly, quarterly, and yearly reports.
- Providing reports to management regarding all aspects of the coffee shop.
- Discussing with management measures to improve operational aspects.
- Implementing feedback from the management.

Qualifications:
• Experience: 5 – 7 Years hospitality managing restaurant or dining in coffee shop
