Job description

The Office Administrator/Coordinator plays a crucial role in ensuring the smooth operation of the office environment within the automotive repair and spare parts industry. This position is ideal for individuals who are organized, detail-oriented, and possess strong communication skills. The Office Administrator will be responsible for managing administrative tasks, supporting various departments, and ensuring that the office runs efficiently. The role requires a proactive approach to problem-solving and the ability to multitask in a fast-paced environment.


Responsibilities:


  1. Manage daily office operations, including scheduling appointments and coordinating meetings.
  2. Assist in the preparation and maintenance of reports, documents, and correspondence.
  3. Handle customer inquiries and provide exceptional service to clients.
  4. Maintain office supplies inventory and order supplies as needed.
  5. Support the finance department with invoicing and expense tracking.
  6. Coordinate with vendors and service providers for office maintenance and repairs.
  7. Organize and maintain filing systems, both electronic and physical.
  8. Assist in the onboarding process for new employees and maintain accurate employee records.
  9. Implement office policies and procedures to enhance efficiency.
  10. . Ensuring the office is clean, organized, and well-maintained. 
  11. Participate in team meetings and contribute to strategic planning initiatives.
  12. Handling phone calls, emails, and other correspondence related to the car wash.

  2. Excellent verbal and written communication abilities.
  3. Proficiency in Microsoft Office Suite and office management software.
  4. Ability to work independently and as part of a team.
  5. Detail-oriented with a focus on accuracy.
  6. Experience in the automotive industry is a plus.
  7. Problem-solving mindset with a proactive approach.
  8. Ability to handle confidential information with discretion.
  9. Strong interpersonal skills to interact with diverse teams.
  10. Adaptability to changing priorities and tasks.
