Job description

We are seeking a highly organized, proactive, and trustworthy Personal Assistant to support the Business Partner in managing daily operations, priorities, and follow‑ups across the organization. This role requires close collaboration with Sales, HR, Accounts, and Projects teams to ensure smooth communication, timely updates, and effective execution of tasks. The PA will act as a central coordination point, helping the Business Partner stay focused on strategic decisions while ensuring nothing falls through the cracks.

Key Responsibilities

Executive & Administrative Support

  • Manage daily schedules, reminders, meetings, and task priorities for the Business Partner
  • Prepare daily, weekly, and monthly task lists and reminders
  • Organize calendars, meetings, calls, and follow‑ups
  • Draft emails, messages, and basic reports on behalf of the Business Partner
  • Maintain confidentiality of all company and executive information

Coordination & Follow‑Ups

  • Obtain regular updates from Sales, HR, Accounts, and Projects teams
  • Track ongoing tasks, deadlines, and deliverables across departments
  • Follow up with team leads and members to ensure commitments are met
  • Summarize key updates, issues, and action points for the Business Partner
  • Ensure alignment between teams and escalate delays or concerns proactively

Sales Team Support

  • Collect sales performance updates and pipeline reports
  • Follow up on targets, leads, and pending actions
  • Assist with scheduling sales meetings and reviews

HR & Accounts Coordination

  • Coordinate with HR on hiring updates, attendance, compliance, and employee matters
  • Liaise with Accounts for payment statuses, invoices, expenses, and financial updates
  • Track approvals and pending documentation

Projects & Operations Support

  • Monitor project timelines, milestones, and deliverables
  • Follow up on project updates and identify risks or delays
  • Help maintain project trackers and status reports

Skills & Qualifications

  • Proven experience as a Personal Assistant, Executive Assistant, or similar role
  • Strong organizational and multitasking skills
  • Excellent communication skills (written and verbal)
  • Ability to follow up firmly yet professionally
  • High attention to detail and strong sense of responsibility
  • Discretion and integrity in handling sensitive information
  • Proficiency in Microsoft Office / Google Workspace and task‑management tools
  • Ability to work independently and proactively
