Key Responsibilities:
· Act as the trusted support to the General Manager, managing calendars, meetings, travel arrangements, and correspondence while ensuring effective communication across all hotel departments.
· Serve as a liaison between the General Manager, hotel staff, guests, and external stakeholders.
· Support the General Manager on various projects, ensuring deadlines are met and objectives achieved.
· Coordinate meetings as required, including organizing and attending the weeklies meetings.
· Draft responses to guest questionnaires, concerns, complaints, and other correspondence for the General Manager’s approval.
· Translate communications and assist in representing the General Manager when required
· Prepare complimentary forms, upgrade requests, and gift vouchers as needed.
· Understand the responsibilities of all hotel departments and collaborate closely with them.
· Handle sensitive information with the utmost discretion, maintaining confidentiality at all times.
· Demonstrate a professional attitude and behavior at all times.
· Establish and maintain various filing / records / database of business contacts, trace pending items and follow up as appropriate
· Attend executive meetings to record accurate minutes and track follow-up action items.
· Coordinate logistics for Senior Executive meetings, conferences, and corporate events.
· Screen and redirect incoming phone calls and emails, prioritizing urgent matters.
- Draft, proofread, and format official correspondence, memos, and professional reports.
· Maintain highly organized electronic and physical filing systems for easy information retrieval.
Requirements:
Saudi National
Bachelor’s degree in business administration, Office Management, or a related field is typically preferred.
Previous experience as a Personal Assistant, Executive Assistant supporting senior leadership, or similar role (hospitality experience preferred)
Excellent organizational and time management skills
High level of professionalism and attention to detail
Strong English and Arabic proficiency required (translation/interpretation ability preferred)
Proficiency in Microsoft Office
Experience with hotel PMS systems is a plus
Superior time-management and the ability to prioritize competing tasks in a fast-paced environment.
Proven ability to manage confidential data and maintain integrity.
