We are seeking a proactive and service-oriented Assistant Community Operations Manager to support the overall management and operation of the community/township, ensuring the highest standards of community living, facilities management, tenant satisfaction, compliance, and operational efficiency.

The ideal candidate will assist the Community Operations Manager in overseeing daily operations, community services, maintenance activities, tenant relations, contractor performance, and administrative functions while contributing to the achievement of operational and financial objectives.

Key Responsibilities
  • Assist in managing the day-to-day operations of the community in accordance with established community management standards, policies, and best practices.
  • Support the implementation and enforcement of community rules, regulations, and policies while ensuring compliance by residents, tenants, and service providers.
  • Coordinate community services, maintenance activities, and operational requirements to ensure a safe, clean, and well-maintained environment.
  • Monitor and follow up on maintenance requests, service tickets, and community-related issues, ensuring timely resolution and effective communication with stakeholders.
  • Assist in the implementation and monitoring of preventive maintenance programs in coordination with the Engineering and Maintenance teams.
  • Conduct regular inspections of community assets, common areas, facilities, and infrastructure to ensure operational and quality standards are maintained.
  • Support the management of tenant and resident relations by addressing inquiries, complaints, and feedback professionally and efficiently.
  • Maintain accurate records of community issues, tenant concerns, incidents, and service requests while ensuring appropriate follow-up and closure.
  • Assist in supervising contractors, suppliers, and service providers to ensure services are delivered in accordance with contractual obligations, performance standards, and safety requirements.
  • Support compliance with all applicable legal, municipal, regulatory, environmental, health, and safety requirements.
  • Assist in coordinating emergency preparedness activities and support incident management, investigations, and corrective action implementation.
  • Support the planning and execution of community engagement programs, events, awareness campaigns, and resident initiatives.
  • Monitor community alterations, fit-out activities, and property modifications to ensure all required approvals and permits are obtained.
  • Identify opportunities to improve operational efficiency, community services, resident satisfaction, and cost effectiveness, and recommend improvements to management.
  • Assist in preparing monthly operational reports, management reports, community performance dashboards, and service performance analyses.
  • Support the preparation of budgets, forecasts, business plans, and financial reports while assisting in monitoring departmental expenditures.
  • Assist in controlling operational costs and ensuring adherence to approved budgets and procurement procedures.
  • Support inventory management and procurement activities related to community operations, maintenance materials, and service contracts.
  • Coordinate with internal departments including Engineering, Security, Housekeeping, Finance, Human Resources, and Procurement to ensure seamless community operations.
  • Assist in workforce planning, recruitment coordination, onboarding activities, training initiatives, and employee development programs when required.
  • Support performance management processes, staff coaching, and employee engagement initiatives.
  • Promote professionalism, customer service excellence, teamwork, and positive workplace culture across the community operations team.
  • Ensure compliance with company policies, ethics standards, governance requirements, and third-party relationship guidelines.
  • Perform any other duties assigned by the Community Operations Manager, Director, or Management.
