Job description

The Executive Secretary plays a crucial role in ensuring the smooth operation of an executive's office by managing administrative tasks and facilitating communication between departments. This position requires a highly organized individual with excellent communication skills and the ability to multitask effectively. The Executive Secretary is responsible for supporting executives in their daily activities, managing schedules, and ensuring that all office functions run efficiently. This role is ideal for someone who thrives in a fast-paced environment and is adept at handling confidential information with discretion.

Responsibilities:

  1. Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
  2. Prepare and edit correspondence, reports, and presentations for executive meetings.
  3. Act as a liaison between executives and internal/external stakeholders, ensuring effective communication.
  4. Organize and coordinate office operations and procedures to ensure organizational effectiveness.
  5. Maintain filing systems, both electronic and physical, ensuring easy access to important documents.
  6. Handle confidential information with integrity and professionalism.
  7. Assist in the preparation of budgets and financial reports as required.
  8. Coordinate special projects and events as directed by the executive.
  9. Monitor and respond to emails and phone calls, prioritizing urgent matters.
  10. Provide administrative support to other team members as needed.

Preferred Candidate:

  1. Strong organizational and time management skills.
  2. Excellent verbal and written communication abilities.
  3. Proficient in Microsoft Office Suite and other relevant software.
  4. Ability to work independently and as part of a team.
  5. Detail-oriented with a high level of accuracy in work.
  6. Experience in handling confidential information responsibly.
  7. Proactive problem-solving skills and initiative.
  8. Ability to adapt to changing priorities and work under pressure.
  9. Strong interpersonal skills to build relationships with stakeholders.
  10. Previous experience in an executive support role is a plus.
