Job Summary:
The Swim Academy Operations Supervisor is responsible for overseeing the daily operations of the Swim Academy, ensuring excellence in service delivery, staff performance, safety protocols, and customer satisfaction. This role involves supervising instructors and lifeguards, managing class schedules, maintaining facility readiness, and ensuring all programs run smoothly, efficiently, and in alignment with the academy’s elite standards.
Key Responsibilities:
1. Operational Oversight
- Supervise day-to-day swim academy operations, ensuring classes run on time and as per schedule.
- Ensure pool areas are clean, safe, and prepared for use at all times.
- Monitor program registration, attendance, and client feedback to optimize efficiency and satisfaction.
- Coordinate with maintenance and housekeeping teams to resolve any facility-related issues promptly.
2. Staff Supervision and Development
- Supervise and support swim instructors, assistant coaches, and lifeguards.
- Conduct regular training, mentoring, and performance evaluations to uphold instructional and safety standards.
- Create and manage shift rosters and ensure appropriate staff coverage for all swim sessions.
3. Program Coordination
- Assist in the design, planning, and execution of swim programs for various age groups and skill levels.
- Support onboarding of new students and families, ensuring a seamless integration into the academy.
- Coordinate assessments and progression pathways in collaboration with the Head Coach.
4. Customer Relations
- Act as the primary point of contact for parent/student queries and complaints related to operations.
- Ensure consistent delivery of exceptional service, building strong relationships with academy members.
- Implement customer feedback mechanisms to continuously enhance the program experience.
5. Compliance & Safety
- Ensure all programs and staff operate in compliance with national and internal safety standards.
- Conduct regular risk assessments and enforce emergency procedures and protocols.
- Maintain up-to-date certifications for staff (First Aid, CPR, Lifeguarding, etc.).
Qualifications and Skills:
Minimum Requirements:
- Minimum 3 years of experience in aquatics program supervision or facility operations.
- Strong knowledge of swim instruction programs, lifeguard procedures, and aquatic safety standards.
Preferred:
- Experience working in high-performance or elite swim academies.
- Coaching certifications (e.g., ASCA, Swim England, or equivalent).
- First Aid, CPR, and Pool Lifeguard certifications.

- Excellent interpersonal skills to work with children, parents, and staff with empathy and professionalism.
- Strong verbal and written communication, including report writing, conflict resolution, and feedback delivery.
- Ability to handle customer complaints or concerns tactfully and effectively.
- Comfortable conducting presentations or orientations for new parents or academy members.
5. Administrative & Technical
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience using member or class scheduling platforms (MindBody, Zen Planner, Club Automation, etc.).
- Ability to analyze performance metrics, such as attendance, retention, satisfaction, and progression.
- Understanding of budgeting and basic financial tracking for program operations.
