Role Summary:


We are seeking an experienced Vessel Agent to manage all port call activities and provide end-to-end logistics support for vessels. The successful candidate will coordinate port operations, liaise with stakeholders, ensure regulatory compliance, and deliver timely, cost‑effective services to clients. 


Contract: Permanent


Location: Walvis Bay, Namibia

Key Duties and Responsibilities:


  • Attending to customs, port and immigration formalities on behalf of the vessel.
  • Keeping principals and suppliers updated on the progress of the vessel.
  • Formulate estimated disbursements and finalising the disbursement after the departure of vessels.
  • Manage vessel husbandry: crew changes, medical assistance, spare parts, and provisioning.
  • Ensuring a smooth turnaround of vessels and reporting on cargo operations.
  • Assisting with following up on invoices from suppliers and service providers.
  • Ensuring all relevant requirements are met such as ISPS clearance and Free Pratique.
  • Comply with ISO Standards and certification.
  • Comply with local and international maritime regulations and port safety protocols.
  • Working outside regular hours to accommodate the schedules of vessels arriving at the port.
  • Maintain relationships with port authorities, terminal operators, service providers and vendors.

Who You Are:


  • Relevant experience of port operations, shipping documentation, customs and ISPS requirements.
  • Strong commercial awareness, negotiation and cost-control skills.
  • Excellent written and verbal communication; customer-service oriented. Local language + English fluency required. Relevant certifications an advantage.
  • Able to work under pressure, manage multiple vessel calls and flexible hours (on-call rotations).
  • Proficiency with MS Office; experience with shipping/agency software.
  • Valid driver’s license essential - Requires suitable own vehicle.
