The Role: Project Coordinator / Sales Coordinator – Project



The Project Coordinator / Sales Coordinator is responsible for supporting tendering and project execution processes. The individual will be actively involved in coordination, documentation, and execution tracking to ensure projects are delivered on time and meet customer requirements.



The role requires close coordination with cross-functional teams including sales, procurement, and site teams. The Project Coordinator will act as a key point of contact for internal stakeholders and clients for ongoing projects and support smooth execution from order receipt to project closure.



This role focuses on execution excellence, coordination efficiency, and maintaining strong client and vendor communication throughout the project lifecycle.



Part 1. List the essential functions and major activities in order of their importance



  • Support safe work practices and ensure adherence during project execution.
  • Assist in managing projects from PO acknowledgement to order execution and delivery, ensuring timelines and customer requirements are met.
  • Support preparation of project plans, schedules, and execution tracking.
  • Coordinate with internal teams (sales, procurement, and site teams) to ensure smooth project flow.
  • Maintain and update project documentation, MIS reports, and cost tracking reports.
  • Support tendering activities, including document preparation, submission, and follow-ups.
  • Liaise with clients for approvals, documentation, certifications, and payment follow-ups.
  • Coordinate with vendors and suppliers for timely delivery of materials and services.
  • Assist in procurement processes, including PR/PO coordination and vendor comparisons.
  • Facilitate communication between stakeholders and ensure timely updates on project progress.
  • Help identify and escalate risks or delays and support resolution.
  • Support billing, quotation preparation, and sales-related documentation.
  • Ensure compliance with company processes and project documentation standards.
  • Participate in continuous improvement of coordination and execution processes.

  • Graduate (Commerce / Engineering or relevant field preferred) with 12–15 years of experience in project coordination, sales coordination, or execution support roles.
  • Experience in tendering, project execution, procurement coordination, and documentation.
  • Knowledge of pumps and pumping systems / water industry will be an added advantage.
  • Self-motivated, result-oriented, and a team player.
  • Ability to manage multiple priorities and meet deadlines.
  • Good communication and coordination skills.
  • Basic negotiation and follow-up skills.
  • Continuous improvement mindset.
  • Presentable with fluency in verbal and written English.
  • Ready to travel domestically as per project requirements.
