SUMMARY:


This is a great opportunity to join a fast-paced, highly dynamic Human Resources team that is constantly innovating and striving to positively impact the people of Ares. 


This position sits within the HR Operations team and will partner closely with our U.S. based recruiting and hiring teams to deliver an exceptional hiring experience for candidates across open roles in the U.S at Ares. As a Recruiting Operations Associate, you will own candidate interview logistics in a fast-paced, dynamic work environment and will ensure a smooth and efficient candidate experience from initial contact to onboarding.  


The successful candidate will possess a high level of professionalism, will be confident, energetic, and passionate. They will possess excellent communication skills, both written and verbal, and should have the ability to manage a high volume of interview scheduling and reporting on a real time basis. The ideal candidate should have experience working in an applicant tracking system and an understanding of the recruitment workflow.


Please Note: This role involves working in night shifts to support US Recruitment.Primary functions and essential responsibilities

Candidate Coordination:


  • Schedule and coordinate all logistics of an onsite, phone, and virtual interview across multiple time zones and locations including complex scheduling and meeting room booking.  
  • Develop strong partnerships with Ares’ recruiting and hiring teams, candidates and third-party vendors while maintaining clear and timely communication.
  • Coordinate candidate travel and manage the candidate expense reimbursement process.
  • Meet, greet and guide candidates during onsite interviews, ensuring a positive candidate experience.
  • Collect feedback from interviewers and consolidate it for evaluation and decision making.
  • Proactively identify opportunities to enhance our candidate experience and scheduling efficiency.
  • Identify and implement improvements to the Coordination process, focusing on efficiency, candidate experience and compliance.
  • Assist with the onboarding process of new team members. Provide guidance and support to, including but not limited to process and system overview, review of team material and guides.

Onboarding:


  • Draft employment agreements and submit them to the legal team for review.
  • Conduct background checks for new hires via Workday and oversee their progress.
  • Collaborate with IT and Corporate Services to keep them updated on new hires.

Recruitment Reporting:


  • Daily tracking, monitoring and upkeep of candidate progress through the interview stage via Workday and excel based reporting.
  • Prepare functional reports for Hiring Manager calls.
  • Generation of weekly, monthly, quarterly, and ad-hoc reports as required; assistance with analyzing such reports for trends/insights.
  • Ability to manage large volume of data from various sources and structure them into meaningful reports.
qualifications

Education:


  • Bachelor’s Degree required (Any specialization)

Experience Required:  


  • Minimum 4 years of work experience as an administrator or coordinator, preferably within Recruitment
  • Prior experience with Workday preferred
