Scope of the Role This role is a hybrid of HR operations and executive support.
You'll serve as a key partner to leadership, ensuring internal workflows, people operations, and executive tasks run smoothly and efficiently.
Your ability to stay organized, communicate clearly, and maintain confidentiality will be critical to success.
Duties and responsibilities: Human Resources Support: Handle data entry for HR processes such as offer letters, new hire records, and payroll Send timely reminders to managers about key deadlines, including weekly leadership meetings and company-wide All Hands meetings.
Support recruitment by posting job openings, reviewing candidate applications, and coordinating interviews.
Address employee questions and concerns, escalating issues to the HR Director when necessary.
Assist in preparing HR-related presentations and reports.
Help onboard new employees, ensuring a smooth transition.
Maintain accurate and up-to-date employee records, including org charts, company-issued equipment, and time-off tracking, among others.
Develop and post monthly company newsletters.
Manage company purchases for equipment, employee gifts, and other business-related needs.
Executive Assistance: Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and prioritizing commitments.
Coordinate domestic and international travel arrangements, including flights, accommodations, and detailed itineraries.
Purchase items as requested by the CEO.
Prepare, edit, and organize internal and external communications, presentations, and reports.
Track and follow up on action items to ensure timely completion Coordinate logistics for meetings, events, and off-site activities.
Maintain organized records and documentation on behalf of the CEO.
Assist with ad-hoc projects.
Proven experience as an Executive Assistant, Administrative Assistant, or similar support role.
Previous experience providing HR administrative support is preferred.
Excellent organizational and time management skills with the ability to multitask and prioritize effectively.
Strong written and verbal communication skills in English High level of discretion, professionalism, and sound judgment Proactive, resourceful, and able to work independently in a remote setting Proficiency with Google Workspace (Docs, Sheets, Slides, Calendar, Gmail) Slack, and other relevant tools
