Role Objective:
The Data Entry Supervisors will be responsible for managing the progress and quality of data entry operations, in coordination with the technical team of the project and field offices. The primary responsibility is to ensure that the data entered is complete, reliable, and accurate.
Quality Assurance Focus: Data Entry Supervisors will be assigned roles in quality assurance to standardize and ensure that the data entered reflects the aggregated data accurately, and according to the strict field verification logic in data entry forms. They will communicate any errors related to the data entry process, and the discrepancies between the aggregated data and the target for each area, in addition to the immediate reporting of technical and logical errors in data entry forms.
Main Responsibilities:
- Data Accuracy Supervision: Oversee the data entry team to ensure the accurate translation of all project data from original documents to the data entry platform.
- Management of Sample Reception and Pre-Verification: Coordinate the flow of paper and digital field assessments, to ensure the verification of writing from clarity and completeness of the samples before distributing the samples for entry into the system.
- Workflow Improvement and Evaluation Rates: Monitor the outputs of individuals and the team to ensure a consistent daily evaluation rate, and proactively manage workloads to achieve goals and prevent the accumulation of unentered field data.
- Tracking and Organizing Record Flows: Create and maintain a centralized tracking system for completed physical and digital samples to ensure no records are skipped or lost or entered twice by the team. Ensure the organization of outlier forms and error forms in separate files containing school identification information.
- Implementation of Quality Assurance and Immediate Checks: Ensure the quality and consistency of the entered data through the implementation of a precise and predetermined surprise inspection process (as agreed with the information systems officer), and systematically audit the inputs against the system logic and source text.
- Standardization of Regional Statistics: Collect and verify data entries at the level of the region completed by writing, and compare totals with targeted standards, and report any deficiencies or excesses to the Head of the Research and Educational Development Center and also to the information systems officer for the project.
- Technical Issue Escalation: Act as a focal point for platform performance; collecting and verifying and estimating direct reporting of coordination errors identified by the team, or delays, or logical errors to the Head of the Research and Educational Development Center and also to the information systems officer for the project.
- Enforcement of Data Protection Protocols: Maintain strict oversight of data protection protocols for beneficiaries, to ensure the team handles all files securely and does not leave data entry screens unmonitored.
- Supervision of Workspace Orders and Document Security: Manage the physical data entry environment, to ensure that employees maintain an organized work environment to avoid the risk of damage or loss of paper forms.
Qualifications and Experience:
- University graduate or intermediate diploma.
- At least one year of experience in a basic administrative role, preferably with a non-governmental organization or a local organization or government environment.
Technical Skills:
- Fast and accurate typing skills for language (texts/numbers in Arabic and English).
- Basic knowledge of computer devices, internet browsers, and data entry interfaces (such as KoboToolbox or customized database forms).
- Basic knowledge of Microsoft Excel (navigating sheets, entering data, and using basic search and lookup functions).
- Languages: Arabic speaker with basic understanding of English text in data entry forms (if necessary).
Core Competencies
- High Attention to Detail: Ability to detect minor errors in writing, or missing numbers, or quickly flipping numbers.
- Reliability: Consistent performance when dealing with repetitive and high-volume writing tasks.
- Clear Communication: Ability to inform the PMIS officer clearly when a form is not saved, or when the target does not match, or when an error appears in the system.
