As a Restaurant Reservation Agent, you will play a vital role in managing and coordinating reservations to ensure an efficient and organized dining experience for guests. Your primary responsibility is to handle reservation inquiries, manage the reservation system, and communicate effectively with both guests and restaurant staff.


Key Duties and Responsibilities


  • To have full and comprehensive knowledge of the Hotel facilities
  • Answer incoming reservation inquiries via phone, email, or online platforms.
  • Record and manage reservations accurately using reservation software.
  • Assist guests in choosing suitable dining times and offering alternatives when necessary.
  • Communicate restaurant policies and procedures to guests.
  • Efficiently manage reservation schedules to optimize table turnover.
  • Ensure that all reservations are made promptly and accurately as per the required standards set by One&Only.
  • To be continual source of information, help and assistance to all the guests.
  • Handle reservation-related issues, such as overbooking or delays, with professionalism.
  • Maintain accurate and organized records of reservations.
  • Generate reports on reservation trends and guest preferences.
  • Prepare the internal memos for the special events such as Guest cocktails etc.
  • To maintain a high level of communication and feedback within the department
  • To identify and anticipate guest needs and requirements in terms of restaurant selection.
  • To report to duty punctually and in accordance with the issued department duty roster
  • To adhere to the grooming and uniform standards
  • To abide by all hotel and company policies and procedures
  • To adhere to all hotel health and safety policies
  • To follow the reservation standard provided by Forbes Travel Guide & LQA to achieve the target.
  • Reply to all incoming correspondence within 24 hours.
  • Take restaurant reservations for all outlets made via phone, email, or personal.
  • To ensure accurate input of restaurant reservations details in Quadrant and hotel system
  • To handle reservation changes and cancellations
  • To prepare and send written confirmation letters for all the bookings according to the reservation’s standards.
  • Distribute internal correspondence to the relevant departments.
  • Maintain and improve wherever possible the communication between the restaurant reservations department, the various F&B outlets, and other departments in the hotel.
  • To use the reservation log to record and handover all messages to keep everyone within the department informed.
  • Assists the Department Head in preparing reports and statistics.
  • Promote and sell special events of the resort such as New Years, Gala Dinners etc.
  • To keep him/ her self-updated with the current and future restaurants status and the occupancy levels
  • Prepare the daily Restaurant Reservations report during the afternoon shift.
  • To keep manager/ supervisor informed of irregularities and VIP bookings.
  • Handle group reservations and inquiries.
  • Keep close and professional contact with Dubai hotel staff/ travel agents/ tour operators/ companies that are booking restaurants in the hotel on a regular basis.

  • Good multitasking and organization abilities
  • Hospitality or restaurant experience preferred
