Role Objective: To manage and support the end-to-end planning, coordination, and on-ground delivery of the dermatology and aesthetic medicine conference, ensuring a seamless experience for delegates, speakers, and partners while upholding the IP’s professional and scientific standards.
Preferred Background & Skills: Minimum 6 years of experience in conference or event management, ideally within the medical, scientific, or healthcare sectors.
Proven track record in program coordination, speaker management, and client servicing.
Excellent organizational, multitasking, and communication skills, with strong attention to detail.
Familiarity with association or society-led events and understanding of CME processes is an advantage Proficient in Microsoft Office and project management tools.
Ability to thrive in a fast-paced environment, balancing multiple deadlines.
Key Responsibilities: Oversee the scientific program management, including having an understanding of agenda development, session scheduling, and alignment with the event’s strategic objectives.
Understanding of coordination with faculty members, moderators, and scientific committee representatives to ensure timely submission of abstracts, presentations, and session details to drive teams to maintain project timelines.
Liaise with internal teams (marketing, operations, design, and production) to align on deliverables, branding, and content accuracy across communication materials.
Manage speaker logistics — including travel arrangements, accommodation coordination, honorarium documentation, and on-site hospitality.
Ensure all conference documentation (session guides, speaker bios, program booklets) is compiled and proofed in coordination with relevant departments.
Oversee on-site operations, ensuring smooth flow of registration, session management, and adherence to conference schedules.
Maintain consistent communication with clients, scientific partners, and key stakeholders, providing updates and ensuring expectations are met Support post-event reporting, data collection, and debriefing to ensure continuous improvement for future editions.
