The IT Project Coordinator supports IT
projects by maintaining accurate documentation, records, and administrative
controls throughout the project lifecycle. The role focuses on ensuring that
all project-related information is properly recorded, tracked, and archived to
support operational continuity, reporting, and audit requirements.
The IT Project Coordinator does not hold decision-making authority. All project
governance, approvals, prioritization, and strategic decisions remain under the
responsibility of the Project Manager. The role operates in a support capacity,
ensuring disciplined documentation and coordination in line with established
project management practices.
• Maintaining complete, accurate, and up-to-date project documentation across all IT projects
• Creating, updating, and archiving project records including plans, schedules, registers, approvals, and correspondence
• Ensuring version control and proper document classification in accordance with IT and PMO standards
• Recording project decisions, actions, and outcomes as approved by the Project Manager/IT Manager
• Updating Zoho Projects, timelines, and task lists strictly based on Project Manager direction
• Scheduling project meetings and accurately recording and distributing meeting minutes and action items
• Compiling project status reports using approved input from IT Team Leads and the Project Manager
• Maintaining risk, issue, dependency, and assumption logs as identified by the Project Manager/IT Manager
• Coordinating with the Procurement department to support project-related purchasing activities
• Preparing and maintaining procurement-related documentation such as requisitions, approvals, and delivery records, and vendor management
• Tracking procurement status and timelines and reporting updates to the Project Manager
• Supporting audits and reviews by providing complete, traceable, and audit-ready documentation
• Operating closely with IT teams, Procurement, Finance, and other internal departments as required
• Performing
other IT-related duties as assigned by Management
