Scope and General Purpose
1. Specific Duties and Responsibilities:
1.1 Operate the town in accordance with best in class in standards of town management and conduct up to date market analysis of competitor set
1.2 Ensure adherence and understanding plus tweaking where required of all community rules
1.3 Receive, supervise and follow up on all maintenance services / requests and repairs pertaining to building and related equipment, and ensure coordinating with concerned departments to action them without any delays.
1.4 Formulates and implements along with Chief Engineer preventive maintenance programs for utility systems, equipment and building maintenance.
1.5 Ensure safety, security and health measurements are in place at all times, in accordance to the company policies and procedures and be in charge of all emergency situations might raises, ensuring that proper incident reports are prepared for any corrective actions to be taken and suggest preventive procedures accordingly.
1.6 Ensure proper recording of Tenants complains and create proper follow up system indicating actions taken to be able to measure the tenant’s satisfaction level and find out different ways to improve the services considering the limit of empowerments extended by the Management.
1.7 Conduct weekly site inspection to ensure quality standards are in place and communicate any risk assessment to the management for further preventive actions.
1.8 Maintain good relationship with all tenants and obtain their feedback regularly to ensure that all services provided are up to their expectations and highlight any possible improvements to be taken to the Management.
1.9 Source / negotiate / supervise and maintain up to date Service contracts (and ensure all contracts are carried out based on the agreed terms and conditions. No Negotiation for any new contracts to be carried without referring back to the Management to ensure maximizing services provided in profitable way.
1.10 Ensure all legal requirements by all authorities are in place to avoid any violence resulting violation penalties by the legal authorities.
1.11 Prepare and implement necessary policies and procedures concerning use of the resort and its facilities and regulating the relation between tenants. No new policy or procedure to be implemented until it is reviewed and approved by the management.
1.12 Establish and implement an annual calendar of community engagement events
1.13 Suggest any possibility / services might improve the facilities and maximize the profit.
1.14 Ensure that no alteration is done in the property infrastructure or the premises rented or owned by the tenants without obtaining prior approvals of the legal authorities as per the standard policies and procedures.
1.15 Inform management of results via Monthly reports indicating (Trends/Guest Feed Backs/Status of Letting Services/Service Contracts & Maintenance requirements/Income & Expenditure for the previous month)
1.16 Assists in the preparation of statistical, performance and forecast reports as necessary, to facilitate annual budget and strategic plan preparation and provides management with marketing information. Administers departmental budget, and ensures that the authorized budgetary and purchasing procedures are properly used.
1.17 Assists in monitoring and controlling, on an on-going basis, department costs to ensure performance against budget.
1.18 Routinely checks payments discrepancies and guest credit for accuracy and compliance with hotel credit policy.
1.19 Prepares work schedules and store requisitions on timely basis.
1.20 Maintain a supply of inventory necessary for optimal operating efficiency by initiating purchasing orders for maintenance supplies, parts, and services as required.
1.21 Not to accept any trade commission, allowance, indirect payment or other consideration from any third party in connection with the letting services of facilities management unless otherwise approved in writing by the Management.
1.22 Coordinates with the Human Resources Department to recruit staffs as required.
1.23 Identifies training needs, assists in developing formal training plans, submit monthly training plans, file monthly training attendance and implementing training sessions.
1.24 Maintains appropriate standards of conduct, dress, hygiene, uniform appearance and posture of department employees.
1.25 Establishes and maintains effective employee relations.
1.26 Ensures all new procedures and policies are communicated and implemented effectively within the department.
1.27 Carryout regularly appraisals on a timely manner.
1.28 Carryout any other tasks, duties and responsibilities assigned by the management.
