The Client:


A live communications agency, that provides fully integrated services enabling excellence in Advertising, Events, Public Relations, and digital and social media. They work on amazing campaigns work with high-profile government and private sector corporations globally. 


Job Purpose:


Reporting to the Managing Director and as part of our advertising agency you are responsible for advising the events team on strategy for company events ensuring effective and efficient delivery, whilst maintaining the quality and standards required. You will provide and own end-to-end event management solutions from sourcing, selecting, and securing multiple venues to managing and selecting catering requirements, as well as manage all technical support and sponsor requirements.


Principle Responsibilities:


  • Support all event launches and present company image/communications at all times.
  • Liaise with PR and creative team to ensure creative work (events signage etc) is on schedule and delivered on time.
  • Manage client and third party suppliers to ensure the event is set up correctly in line with brief and standards.
  • Coordinate with the sales team to design the company's marketing material.
  • Assume responsibility for checking the accuracy of event operations are set up correctly
  • Plan and organize events from operational through to implementation and post-event activities, and inspire junior team members and mentor their development.
  • Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
  • Answer phone calls and direct calls to appropriate parties or take messages.
  • Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors.
  • Attend meetings to record minutes.
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
  • Open, sort, and distribute incoming correspondence.

Qualifications:


  • BA Business-related subject.
  • Events Manager with at least 3 years of experience working as an Events Manager in a fast-paced media environment in the UAE.
  • 2 years of experience in a busy office environment.
  • Expert in Microsoft Office including word, excel, outlook, and PowerPoint.
  • Ability to draft Company letters, e-mails, and memos.
