We are hiring for our leadership development company: Lumolead

We are looking for a full-time, junior-level Learning Operations Associate who will support the smooth delivery of leadership development and learning journeys end-to-end. This role is responsible for making sure each program runs seamlessly across participant communications, session logistics, facilitator coordination, attendance tracking, platform adoption, follow-ups, and overall learning experience quality. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing both people-facing communication and behind-the-scenes operational execution.



Key Responsibilities

1) Program Operations & Coordination


  • Support the end-to-end operations of leadership development programs, workshops, peer circles, and learning journeys
  • Coordinate session calendars, participant lists, invitations, reminders, and follow-up actions
  • Track RSVPs, attendance, no-shows, late joiners, and overall participation status
  • Ensure pre-work, required materials, links, and session preparations are completed before each learning touchpoint
  • Keep program flow organized across multiple modules and learning moments with strong attention to detail


2) Participant Experience & Communication


  • Own participant-facing communications before, during, and after sessions
  • Send welcome notes, “what to expect” messages, reminders, recap messages, and follow-up nudges
  • Help create a warm, responsive, and human learning experience through timely and personalized communication
  • Support participants with questions, expectations, and orientation throughout the journey
  • Follow up with participants who miss sessions and help them stay engaged through recaps and redirections


3) Session Delivery Support


  • Support facilitators and co-facilitators during live sessions to ensure a smooth experience
  • Monitor timing, participation, energy levels, technical flow, and overall session rhythm
  • Track participant engagement during the session and flag issues that may require facilitator intervention
  • Support breakout/group work participation and help re-engage passive participants when needed
  • Take structured observation notes and share them with the program team after sessions


4) Platform Adoption & Learning Technology Support


  • Help participants actively use the learning platform and mobile app throughout the journey
  • Support onboarding to the platform, including app download, notification settings, and feature understanding
  • Ensure participants complete relevant tasks such as commitments, reflections, feedback forms, and learning steps
  • Monitor usage signals and identify where participants are getting stuck or dropping off
  • Surface platform-related feedback, friction points, and user observations to the internal team


5) In-Person Workshop Logistics


  • Coordinate on-site logistics for face-to-face sessions, including venue setup, room layout, materials, equipment, catering, and participant guidance
  • Confirm location details with facilitators and participants in advance
  • Ensure training materials, tools, and technical equipment are ready before the session starts
  • Prepare backup communication and coordination plans for delays or last-minute logistical changes
  • Support the on-site experience so that participants and facilitators can focus on the learning itself


6) Follow-Up, Feedback & Learning Continuity


  • Collect post-session feedback and ensure required actions are completed after each module
  • Track participant commitments, reflections, and action follow-through
  • Support reminder flows that help learning continue between modules
  • Assist with recap content, reflection prompts, progress nudges, and continuity touchpoints after sessions
  • Help sustain engagement across longer learning journeys, not only during live workshops


7) Reporting & Internal Collaboration


  • Maintain accurate records of attendance, engagement, task completion, and participant progress
  • Share key observations, risks, and participant insights with the program team
  • Coordinate closely with facilitators, program managers, and product/platform teams
  • Help identify recurring operational issues and contribute to improving how programs run over time
  • Support a culture of excellence in learning delivery through strong ownership and follow-through

  • Experience supporting workshops, events, or cohort-based programs
  • Comfort with spreadsheets, participant tracking, and communication tools
  • Strong written and verbal communication skills in Turkish and English
