Position Overview

We are seeking an experienced Scheduler/Reporting Manager to lead project scheduling, progress monitoring, and reporting functions across our portfolio. The successful candidate will develop and maintain comprehensive project schedules, analyze project performance, and deliver insightful reports to stakeholders while ensuring alignment with project objectives and contractual requirements.


Key Responsibilities

Schedule Development and Management


  • Develop, implement, and maintain detailed project schedules using industry-standard scheduling software (Primavera P6, MS Project)
  • Create baseline schedules, work breakdown structures (WBS), and activity logic networks for multiple concurrent projects
  • Coordinate with project managers, engineers, and contractors to define scope, sequencing, durations, and resource requirements
  • Establish critical path analysis and identify schedule risks and opportunities
  • Conduct schedule reviews and updates to reflect actual progress and approved changes

Progress Monitoring and Analysis


  • Monitor project progress against approved baseline schedules on a regular basis
  • Perform earned value analysis and trend analysis to forecast completion dates
  • Identify schedule variances, delays, and potential impacts on project milestones
  • Analyze critical path activities and recommend recovery strategies
  • Track and report on key performance indicators (KPIs) related to schedule performance

Reporting and Documentation


  • Prepare comprehensive progress reports including schedule narratives, graphics, and analysis
  • Generate weekly, monthly, and ad-hoc reports for internal management and external stakeholders
  • Create executive dashboards and visual presentations of project status
  • Document schedule changes, delays, and their impacts with supporting evidence
  • Maintain organized schedule archives and version control

Coordination and Communication


  • Facilitate scheduling meetings with project teams, contractors, and consultants
  • Review and integrate contractor and subcontractor schedules into master project schedules
  • Coordinate with procurement, design, and construction teams to ensure schedule alignment
  • Communicate schedule requirements, constraints, and updates to all stakeholders
  • Resolve scheduling conflicts and resource allocation issues across projects

Change Management


  • Assess schedule impacts of change orders, variations, and scope modifications
  • Prepare time impact analysis (TIA) and delay analysis reports
  • Support claims management with schedule-related documentation and analysis
  • Maintain change logs and track schedule revisions

Team Leadership


  • Lead and mentor scheduling team members and planners
  • Provide training on scheduling methodologies, software, and best practices
  • Establish scheduling standards, procedures, and templates
  • Foster a culture of accuracy, accountability, and continuous improvement

Risk Management


  • Identify schedule risks and develop mitigation strategies
  • Conduct "what-if" scenario analysis and contingency planning
  • Maintain risk registers with schedule-related risks and mitigation actions
  • Support project teams in proactive risk management
Required Qualifications

Education


  • Bachelor's degree in Engineering, Construction Management, Project Management, or related field
  • Professional certifications such as PMI-SP (Scheduling Professional) or PSP (Planning & Scheduling Professional) preferred

Experience


  • Minimum 8-10 years of progressive experience in project scheduling and planning
  • At least 3-5 years in a scheduling management or leadership role
  • Experience managing schedules for complex, multi-disciplinary projects
  • Proven track record of delivering accurate schedules and reports on large-scale projects

Technical Expertise


  • Advanced proficiency in Primavera P6 (essential)
  • Working knowledge of MS Project and other scheduling tools
  • Strong understanding of Critical Path Method (CPM) scheduling principles
  • Experience with earned value management (EVM) techniques
  • Familiarity with scheduling best practices (AACE, PMI, DCMA 14-point assessment)

Analytical Skills


  • Excellent analytical and problem-solving capabilities
  • Ability to interpret complex data and present findings clearly
  • Strong attention to detail and accuracy
  • Proficiency in data analysis and visualization tools (Excel, Power BI, Tableau)

Communication and Leadership


  • Outstanding written and verbal communication skills in English

  • Ability to influence and negotiate with diverse stakeholders
Preferred Qualifications
  • Bachelor's degree in Project Management or related field
  • PMP (Project Management Professional) certification

  • Familiarity with BIM 4D scheduling and integration
  • Experience with reporting automation and business intelligence tools
