Position Summary
The Export Compliance Coordinator provides administrative and operational support for the Export Compliance Team in the Office of General Counsel. This position is responsible for maintaining export control and related compliance documentation, supporting the coordination of compliance activities, managing tracking systems, supporting training programs, and ensuring accurate recordkeeping across all aspects of the export control compliance framework.
Working closely with the KAUST Supercomputing Core Lab, Information Technology, Information Security, HR and other stakeholders, this role serves as the administrative and operational support for KAUST's export compliance efforts related to High Performance Computing (“HPC”), including Shaheen III. The position requires exceptional organizational skills, attention to detail, and process management abilities to ensure that compliance documentation is comprehensive, accurate, and retrievable.
The Export Compliance Coordinator will assist with developing and maintaining administrative systems to track compliance activities, manage documentation workflows, coordinate communications, and support reporting requirements. This role is essential for maintaining the operational effectiveness of the export compliance program and ensuring that KAUST can demonstrate compliance with regulatory requirements.
Major Responsibilities
- Maintains comprehensive documentation for all aspects of the HPC, including Shaheen III export compliance framework
- Assisting with analysis and implementation of compliance program related to emerging technologies, including artificial intelligence, quantum computing and advanced semiconductors.
- Develops and manages systems for organizing, tracking, and retrieving export compliance documentation
- Coordinates meetings, tracks action items, and follows up on deliverables
- Coordinates day-to-day operational tasks
- Supports the development and maintenance of export compliance policies, procedures, and guidelines
- Assists with the preparation and submission of export compliance reports and regulatory filings
- Coordinates export compliance training activities including scheduling, registration, and attendance tracking
- Maintains records of export compliance training completion and certification
- Supports audit activities by gathering and organizing required documentation and evidence
- Tracks export compliance deadlines, milestones, and recurring activities
- Maintains user screening and clearance documentation
- Coordinates communication between stakeholders
- Supports the development and distribution of export compliance communications
- Maintains inventory of export compliance requirements and implementation status
- Prepares regular status reports on export compliance activities and metrics
- Assists with organizing export compliance assessment activities
- Maintains records of export compliance decisions and approvals
- Supports the documentation of export compliance incidents and resolution activities
- Coordinates document review and approval workflows
- Maintains version control for export compliance documentation
- Assists with preparing presentations and materials for export compliance related briefings
- Supports the collection and organization of export compliance documentation
- Assists with export compliance-related research and information gathering
- Maintains organized files of all correspondence
- Coordinates travel and logistics
