Job Description

As the Engineering Administrator, you will play a vital role in supporting the Engineering team’s daily operations by ensuring efficient coordination, documentation, procurement, and inventory management. You will act as the administrative and operational backbone of the department, enabling the team to respond proactively to maintenance needs while maintaining compliance with safety, regulatory, and brand standards. This role requires precision, organization, and the ability to thrive in a dynamic luxury resort environment.


Key Responsibilities


  • Maintain accurate and up-to-date records of maintenance requests, work orders, inspections, compliance certificates, and preventive maintenance schedules.
  • Serve as the primary point of contact for engineering service requests, ensuring clear communication and timely follow-up with all hotel departments.
  • Coordinate closely with Rooms, F&B, Security, and other departments to facilitate engineering projects and maintenance activities with minimal disruption to guest experience.
  • Manage purchase requisitions, purchase orders, and vendor coordination in alignment with procurement policies and budget controls.
  • Monitor and control inventory of engineering materials, spare parts, tools, and equipment, ensuring optimal stock levels at all times.
  • Track deliveries, verify received goods, and maintain organized storage areas in accordance with safety and audit standards.
  • Support the Engineering leadership team in preparing departmental budgets, tracking expenses, and compiling monthly performance reports.
  • Coordinate training schedules, maintain safety documentation, and ensure compliance with local regulations in Saudi Arabia and brand standards.
  • Assist in monitoring preventive maintenance programs, ensuring tasks are scheduled, tracked, and completed within established timelines.
  • Prepare, organize, and archive engineering documentation to ensure accessibility, audit readiness, and operational transparency.
  • Assist during inspections, audits, and regulatory visits by ensuring all required documentation is readily available and compliant.

Qualifications

  • Previous experience in an administrative, order-taking, or storekeeping role, preferably within a luxury hotel or resort environment.
  • Strong understanding of procurement processes and inventory management principles.
  • Proficiency in Microsoft Office Suite; experience with maintenance management systems and procurement platforms such as Birchstreet is advantageous.
  • Excellent organizational skills with exceptional attention to detail and accuracy.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively across departments.
  • Ability to multitask, prioritize competing demands, and perform efficiently in a fast-paced pre-opening or resort environment.
  • A proactive, solutions-driven mindset with a strong sense of accountability and commitment to excellence.
