Subcontractor Administrator


A Subcontract Administrator is a professional responsible for managing subcontracts and subcontractors on a construction project. They work closely with project managers, architects, and engineers to ensure that subcontractors are performing their work according to the terms of their contracts, and that the project is proceeding on schedule and within budget.


Key Responsibilities


  • Procurement & Bidding: Prepare solicitations (RFPs/RFQs), evaluate bids, and negotiate pricing, milestones, and payment terms.
  • Contract Administration: Draft, negotiate, and execute subcontracts, team agreements, and non-disclosure agreements (NDAs).
  • Compliance: Ensure all subcontracts adhere to company policies, legal regulations, and prime contract flow-down clauses.
  • Vendor Management: Monitor subcontractor performance, track deliverables, and resolve disputes or scheduling conflicts.
  • Financial Oversight: Process and reconcile subcontract invoices, track project costs, and manage change orders.
  • Review and draft subcontract agreements to ensure compliance with company policies
  • Manage the subcontract lifecycle from initial agreement through to closeout
  • Coordinate with project managers and other departments to meet project requirements
  • Maintain accurate records and documentation for all subcontract activities
  • Prepare and submit reports on subcontract status and performance metrics
  • Conduct risk assessments and implement mitigation strategies as needed
  • Ensure alignment with legal and regulatory requirements
  • Evaluate proposals and select subcontractors based on project needs
