Position: Wholesale Accounts Admin Specialist Working Hours: M-F EST Job Type: Full-Time Location: 100% Remote We are looking for a detail-oriented Wholesale Accounts Admin Specialist with hands-on experience managing backend operations for major retailers such as Dick’s Sporting Goods, Walmart, Target, and other big box accounts.
Scope of the Role The Wholesale Accounts Admin Specialist will manage the administrative and operational processes related to wholesale accounts.
This includes purchase order (PO) management, EDI coordination, routing compliance, chargeback prevention, invoicing, deductions reconciliation, and communication with retailer portals and vendor systems.
This role is critical in ensuring operational excellence, accuracy, and on-time fulfillment across high-volume retail partnerships.
Duties and Responsibilities: Manage purchase orders (POs) from big box retailers, including Dick’s Sporting Goods, Walmart, Target, and similar accounts Process and monitor orders via EDI systems (e.
g., SPS Commerce, CommerceHub, TrueCommerce, etc.
) Ensure compliance with retailer routing guides and vendor requirements Coordinate with 3PLs and warehouse teams to ensure on-time shipping and ASN accuracy Submit and track Advance Ship Notices (ASNs) Manage retailer portals (Retail Link, Target Partners Online, Dick’s vendor portals, etc.
) Reconcile invoices, deductions, and chargebacks Investigate and resolve compliance violations and chargebacks Maintain accurate documentation for wholesale transactions Support sell-through reporting and inventory tracking Communicate with buyer teams and retail operations contacts as needed Assist with forecasting and replenishment coordination Maintain internal reporting for wholesale performance metrics Requirements: 3+ years of experience working with wholesale accounts for major US retailers (Dick’s Sporting Goods, Walmart, Target, or similar big box stores) Strong experience with EDI platforms (SPS Commerce, CommerceHub, TrueCommerce, etc.
) Hands-on experience managing retailer portals (Retail Link, Target POL, etc.
) Deep understanding of routing guides, compliance standards, and chargeback prevention Experience handling deductions reconciliation and dispute resolution Strong organizational skills and high attention to detail Ability to manage high-order volume with accuracy Experience coordinating with 3PLs and warehouse/logistics teams Advanced Excel or Google Sheets skills Strong written and verbal communication skills Experience in CPG, apparel, sporting goods, or consumer products preferred
