Job description

Job Purpose:

Is responsible for various aspects of bookstore operations, including reception operations, stock follow-up, customer service, order follow-up, providing feedback to various Buyers' and Marketing Departments


Duties & Responsibilities:

  • Follow reception protocols and report any discrepancies related to shortage, surplus, tag errors, or damages to the Branch Manager
  • Handle reservation protocols and communicate with clients via email, E-MS, or phone call for customer service requests from the warehouse or other branches
  • Manage special orders, including reservations and actions on Zoho as per the manual
  • Ensure accurate customer data entry and address any duplication issues promptly
  • Monitor customer reservations and take appropriate actions based on reservation reports
  • Verify and follow up on weekly transit reports for your section, reporting any missing goods
  • Monitor book quantities and propose returns to the concerned departments
  • Handle daily reordering processes and request replenishment from other branches' stocks when necessary
  • Provide helpful assistance to customers, utilizing online resources, such as supplier websites and professional databases
  • Demonstrate resourcefulness in all sections and utilize smart shortcuts for language barriers or specialized requests
  • Relay customer requests for wholesales, school, and university orders to the relevant departments in a professional manner
  • Follow up on customer orders for books available at the warehouse and other branches
  • Manage customer special orders, including tracking their status on Zoho and taking appropriate actions
  • Facilitate inter-branches orders for stock and customer orders, ensuring timely and efficient service
  • Collect and transmit customer feedback on stock diversity, special order delays, space allocation, missing titles, and reactivity to promotions
  • Maintain a list of loyal or regular customers for potential focus groups and collaborate with other departments to generate sales for specific client groups
  • Respond to queries related to events and provide advice on group promotions or discounts
  • Operate the ticketing system for event bookings and e-book sales, ensuring accurate data collection and timely communication with relevant departments
  • Pay attention to display arrangements, correcting errors, and ensuring proper section signage
  • Rotate displays to showcase new releases, thematic selections, and promotional items highlighted on social media
  • Assist with updating the Antoine Online order sheet and taking appropriate actions
  • Process supplier returns, both local and international, and confirm actions taken
  • Handle inter-branches stock rotations and provide responses regarding actions taken or valid reasons for non-compliance
  • Provide exceptional coverage for events or schedule gaps in other branches when needed
  • Keep track of price changes and tag updates, ensuring accurate pricing in the store
  • Report suspicious pricing tags, request missing tags, and provide feedback on series price changes to the concerned departments
  • Perform other duties as assigned


Education:

Bachelor Degree in Humanities, Literature, Documentation or any related field

Master’s degree is a plus


Experience:

Minimum 5 years of relevant experience 


Physical Effort:

Job requires standing for a long period of time and working during weekends or holidays if needed. It also requires handling and displaying all kind of goods
