General Responsibilities

The Operations Supervisor at One International School plays a pivotal role in managing and executing daily operations of the campus security, maintenance, transportation, resources, store and childcare services. This position is integral in supporting the school’s mission of Education Excellence, Entrepreneurship, Holistic Wellness, and Culture & Global Insight by providing high-level administrative and secretarial support.

Specific Responsibilities

1. Facilities and Maintenance Management:

  • Oversee the maintenance, safety, and cleanliness of school facilities.
  • Coordinate with vendors and contractors for repairs and renovations.
  • Ensure all equipment, classrooms, and resources are in good working condition.
  • Plan and supervise the custodial work within the buildings, maintenance works of the school grounds, playground equipment, and parking spaces through the maintenance officer.
  • Establish maintenance/cleaning schedules during the school breaks in cooperation with the School Strategic Plan. 

2. Logistics and Resource Management

  • Manage the school's supplies, inventory, and distribution of resources.
  • Coordinate transportation services and ensuring schedules are followed.
  • Oversee the timely delivery of teaching materials and equipment.

3. Compliance and Safety

  • Ensure the school complies with all local regulations which includes environmental, health, fire and safety standards.
  • Manage emergency procedures, fire drills, and first aid resources.
  • Monitor security protocols to maintain a safe environment for students and staff.
  • Ensure fire practices and alarm tests are planned, performed and recorded for safety audit to assess compliance with health and safety legislation and best practices.

4. Staff Coordination

  • Supervise support staff (childcare care supervisor, security guards, maintenance technicians, storekeeper, resource clerk, school logistics, registrar, receptionist and nurse) to ensure effective service.
  • Create work schedule and assignment for cleaners, supervise the cleaning of the building and inspect assigned work as follow-up.
  • Coordinate with academic departments and administrators to address operational needs.
  • Conduct performance evaluations and providing training for staff when necessary.

5. Budgeting and Financial Management

  • Monitor expenditures related to facilities, utilities, and logistics.
  • Seek cost-effective solutions for operational challenges.

6. Event and Activity Support

  • Oversee the logistics for school events, extracurricular activities, and field trips.
  • Coordinate room assignments, transportation, and resources for events.

7. IT and Technology Support

  • Collaborate with IT staff to ensure technological infrastructure is functioning properly.
  • Assist in the implementation of digital tools and platforms for academic and administrative use.

8. Communication and Reporting

  • Serve as a point of contact for operational concerns from teachers, staff, and parents.
  • Prepare reports on operational performance and areas needing improvement.
  • Coordinate communication between different departments for operational needs.
  • Assists during the visit by the Ministry officials for inspection of the school premises and generate feedback reports.
