Wood (trading locally as WOOD KSS LLP) is currently recruiting for Work Permit and Visa Specialist with extensive experience in the oil and gas petrochemical industry to join our team in Atyrau 5/2, Kazakhstan (for KZ passport holders).



Responsibilities:
  • timely prepares information and necessary documentation for obtaining and extending visas of all categories in accordance with the terms established by the legislation of the Republic of Kazakhstan, internal regulatory documents of the LLP and acts of the employer;
  • compliance with the procedures provided for by the legislation on migration of the Republic of Kazakhstan;
  • administration of the process of obtaining permits to attract foreign labor, including:
  • preparation of information and necessary documentation;
  • compliance with the procedures provided for by the legislation on migration;
  • work with the migration service;
  • coordinates the annual medical examination of foreign employees;
  • prepares and updates reports on all foreign employees as required and with deadline of the employer;
  • controls the advance report of foreign employees;
  • work with the migration service of the Republic of Kazakhstan; 
  • submits applications for letters of invitation to the migration agency (visa support, letter of invitation);
  • registration and submission of a notification to the migration service on the arrival of a foreign citizen within 3 working days;
  • provision of reliable and correct personal data of a foreign citizen such as full name, passport number, year of birth, residential address, etc. to the authorized bodies of the Republic of Kazakhstan; 
  • registration/issuance of a visa on the territory of the Republic of Kazakhstan for foreigners who arrived under the visa-free regime (European countries, South Korea, Turkey, UAE, Ukraine, etc.); 
  • applies for a change of visa category in the Republic of Kazakhstan (from business visa to employment visa, etc.);
  • applies for a refund on state visa application charge;
  • timely processes incoming documentation, letters, including intra-corporate prepares and sends the necessary information and letters;
  • interaction with the authorized state bodies of the Republic of Kazakhstan;
  • provides the procedure for filing an application for the need for foreign labor of LLP in the form and terms established by the legislation of the Republic of Kazakhstan;
  • controls the procedure for the requirement of the Republic of Kazakhstan regarding the quantitative ratio of citizens of the Republic of Kazakhstan (local workers) to foreign workers;
  • timely prepares documents and submits an application for obtaining an IIN for a foreign citizen;
  • timely processes incoming documentation, letters, including intra-corporate prepares and sends the necessary information and letters;
  • within its competence interaction with the authorized state bodies of the Republic of Kazakhstan;
  • within its competence ensure the operation of the Company, as well as internal corporate procedures in accordance with the latest changes and additions to the migration legislation;
  • representation of the interests of the company in obtaining permits to attract foreign employee;
  • participation in audits/inspections/meetings held by supervisory authorities, preparation of substantiated answers, prevention of violation of the company's rights;
  • conducts internal corporate correspondence, if necessary, in 3 languages (Kazakh, Russian and English);
  • improvement of processes and methods of work;
  • comply with the labor regulations of LLP;
  • perform other assignments of the Immediate Lead within their competence;
  • analysis of the current legislation of the Republic of Kazakhstan, regulating the migration of the population, the legal status of foreigners, visa support for foreign citizens, within its competence, participation in the legal examination of draft regulatory legal acts initiated by LLP;
  • take part in the preparation of opinions on issues of migration, visa support arising in the activities of LLP;
  • preparation, execution of personnel documentation including orders, employment contracts, additional agreements, job descriptions, etc.;
  • provides orientation briefings;
  • ensuring the conduct of onboarding inductions without being released from his/her main job shall perform the duties of (replace) temporary absent line managers and employees of the same function/department.                                                                                                                                               

Qualifications:
  • higher education;
  • knowledge and experience of application of labour legislation, as well as visa and immigration regulations;
  • at least 3 years’ experience in work permits & visa support, and HR administration;
  • competent in Microsoft Office and wider IT software; 
  • excellent verbal and written communications skills;
  • аttention to detail, ability to manage a high volume of work and prioritise;
  • previous experience in data entry and maintaining data integrity with confidential information;
  • strong skills in Excel and Word;
  • excellent customer relationship skills;
  • demonstrable experience of being able to prioritize and manage work load to achieve end result;
  • working to tight deadlines whilst maintaining a high standard, quality of output;
  • possess initiative & drive, with strong desire to continuously improve process and deliver within agreed objective/ Service Level;
  • willing to work and succeed as a team;
  • good interpersonal and negotiation skills;
