Job Title: Admin Executive


Joba Location: Baghdad, Iraq


Job Summary:


The position plays a key role in supporting both sales operations and day-to-day office administration. This position is responsible for assisting the sales team with documentation, reporting, and client coordination, while also managing essential office functions to ensure an organized and efficient workplace. The position collaborates closely with the sales, marketing, finance, and operations teams to ensure seamless business support across functions.


Key Responsibilities:


Sales Support Duties:


  • Assist the sales team in preparing sales reports.
  • Work closely with the finance and HR team to ensure alignment between sales forecasts and financial projections.
  • Maintain and update customer databases, sales records, and filing systems.
  • Schedule and coordinate sales meetings, presentations, and follow-ups.
  • Timely upload the sales order in SAP.
  • Handle documentation for purchase orders, invoices, and delivery notes.
  • Provide general administrative support to the sales team as needed.

Office Administration Duties:


  • Oversee general office operations, including supplies, maintenance, and facility coordination.
  • Maintain filing systems (physical and digital) for administrative and compliance documentation.
  • Coordinate schedules, travel arrangements, and meetings for the management.
  • Handle incoming/outgoing correspondence, phone calls, and visitor management.
  • Monitor office budgets, petty cash, and expense claims.
  • Liaise with vendors, service providers, and building management.
  • Ensure cleanliness, organization, and readiness of office spaces and meeting rooms.
  • Assist HR with onboarding logistics, coordinating with the candidates etc.

Qualifications & Other Requirements:


  • Bachelor’s degree in Business Administration, Marketing, or a related field.
  • Proven experience in administrative roles, preferably in a sales environment.
  • Proficiency in MS Office (Excel, Word, PowerPoint) and SAP software. Knowledge in Power BI is a plus.
  • Strong organizational skills with attention to detail.
  • Must be Iraqi national
  • Excellent communication and interpersonal abilities.
  • Ability to multitask and work in a fast-paced environment
