You’ll make a difference by: The Document Administrator will support end-to-end delivery coordination of MSDAC products and associated site requirements. The role involves managing documentation, vendor coordination, inspection support, dispatch planning, and ensuring material availability at project sites through effective communication with vendors, back-office teams, and site execution teams. Build and maintain comprehensive projects and delivery documentation for MSDAC projects. Manage end-to-end material tracking from vendor location to project site, ensuring timely delivery. Perform material reconciliation at vendor locations, including verification of quantities and documentation. Plan and coordinate dispatch schedules in alignment with project requirements and site readiness. Coordinate inspection activities with internal teams, third-party agencies, and railway/customer authorities. Ensure all required documents (inspection reports, dispatch documents, invoices, etc.) are complete and accurate. Coordinate closely with vendors, logistics teams, and site teams for smooth execution of dispatch and delivery. Track and monitor delivery status, resolving any delays or issues proactively. Maintain records of material movements, dispatch status, and site acknowledgements. Support project teams with documentation required for site execution and commissioning readiness. Ensure compliance with contractual, quality, and documentation requirements. Develop and share regular status reports on delivery progress, issues, and risks. Identify and implement process improvements in delivery coordination and documentation handling. Support multiple stakeholders including back-office teams, vendors, and site teams for seamless coordination. Conduct regular stock checks (monthly/quarterly/annual). Prepare reports on inventory status and movement. Monitor stock levels and report shortages or excess inventory. Issue materials as per requisition and maintain proper documentation. Maintain accurate inventory records (manual and system-based). Receive, inspect, and verify incoming materials against purchase orders and delivery notes. Your success is grounded in: Graduate in any discipline (preferably Commerce / Logistics). 3–5 years of experience in project coordination, logistics, documentation, or delivery support roles. Basic knowledge of project processes, vendor coordination, and material handling. Good communication and coordination skills. Ability to manage multiple stakeholders and timelines effectively.
