Regional Programme Coordinator, Data & Insights


What this job involves:


The Regional Programme Coordinator plays a pivotal role in supporting the seamless delivery of a large-scale, multi-country capital project programme across the Asia Pacific region. This position serves as the backbone of operational excellence, focusing on the administration and optimization of JLL's Project Management Information System (Ingenious) and ensuring that critical project data flows accurately and efficiently across diverse, geographically dispersed teams. Reporting directly to the APJ Account Management and Project Management Director, this role collaborates closely with Regional Project Management Directors across India, Japan, and the broader Asia Pacific, as well as the Regional Commercial Lead, to maintain rigorous standards of data integrity, compliance, and reporting. By championing best practices in technology adoption, driving continuous improvement in data quality, and proactively addressing gaps in information management, the Regional Programme Coordinator enables informed decision-making, transparency, and accountability at all levels of the programme. Core responsibilities:


  • Serve as the subject matter expert (SME) for JLL's Project Management Information System (Adaptive Work), maintaining deep knowledge of account-specific customizations and ensuring alignment with client reporting requirements.


  • Lead the onboarding and training of variable project teams on the use of Adaptive Work, including delivery of initial training sessions, provision of refresher training, and ongoing support to ensure proficiency and consistent adoption across the region.


  • Monitor project data quality on a continuous basis, identifying inaccuracies, omissions, and inconsistencies in Ingenious, and proactively requesting resolution from project delivery teams.


  • Chase and follow up with project teams to ensure timely completion of data updates in Ingenious to meet established reporting cadences and programme deadlines.


  • Escalate continued non-compliance or persistent data quality issues at the project level to Regional Project Management Directors, providing clear documentation and recommended corrective actions.


  • Extract, consolidate, and analyse data from Adaptive Work to support the preparation of regular programme and financial reporting for use by the APJ Account Management and Project Management Director and the Regional Commercial Lead.


  • Prepare reports demonstrating compliance with contractual Key Performance Indicators (KPIs) and Service Level Agreements (SLAs), ensuring accuracy, clarity, and alignment with client expectations.


  • Respond to ad hoc reporting requests, delivering timely, accurate, and professionally presented outputs.


  • Maintain organized, retrievable records of project documentation, training materials, and compliance evidence in accordance with client record management requirements.


  • Support the development and continuous improvement of standardized processes, templates, and workflows for data management, reporting, and technology adoption across the regional programme.


  • Coordinate with Regional Commercial Lead on finance-related data activities, including support for cash flow forecasting, invoice tracking, and budget variance reporting as directed.  Note that this will also include extracting data from Adaptive Work and uploading into the Client’ system, Tririga


  • Contribute to governance and assurance activities by preparing compliance documentation, supporting audits, and ensuring adherence to client-specific processes and procedures.


  • Collaborate with counterparts in other regions to share best practices, lessons learned, and innovative approaches to project data management and technology adoption.


  • Contribute to the development of training materials, user guides, and process documentation to support knowledge transfer and operational consistency.


  • Collaborate with JLL's regional and global technology and innovation teams to provide feedback on Ingenious functionality and advocate for enhancements that improve user experience and data quality.

  • Demonstrated proficiency of project teams in the use of Ingenious, with measurable reductions in data entry errors and delays.


  • Effective resolution of data quality issues, with clear audit trails of follow-up actions and escalations.


  • Positive feedback from Regional Project Management Directors, client stakeholders, and senior leadership on the quality, timeliness, and utility of reporting and data management support.


  • Successful onboarding and training of new project team members, with clear evidence of knowledge transfer and adoption of standardized processes.


  • Contribution to continuous improvement initiatives that enhance efficiency, accuracy, and transparency in programme delivery.

Preferred qualifications:


  • Bachelor's degree or equivalent qualification in project management, information systems, or a related field.


  • Minimum of 3–5 years of experience in project coordination, data management, or administrative support within a project delivery, construction, or professional services environment.


  • Prior experience working with project management information systems or enterprise data platforms.


  • Strong proficiency in Microsoft Excel, including data analysis, pivot tables, and reporting functions; familiarity with other Microsoft Office applications (Word, PowerPoint, Teams).


  • Experience in preparing professional reports, dashboards, and presentations for senior leadership and client stakeholders.


  • Understanding of project management principles, financial reporting, and contract compliance within a client-facing environment.


  • Experience working in a multi-country or regional capacity, with appreciation for cultural nuances and effective remote collaboration.


  • Familiarity with construction, design, or capital project delivery processes is advantageous but not essential.
