Job Description – Process Designer



Contract Lifecycle Management (CLM) Programme – Procurement & Legal Buy‑Side



Role Overview



The Process Designer will play a critical role in shaping and embedding the future‑state procurement buy‑side contract lifecycle as part of the enterprise CLM transformation programme. This role is accountable for designing, standardising, and optimising end‑to‑end CLM processes—ensuring they are business‑led, scalable, compliant, and aligned to the capabilities of the selected CLM platform (e.g. Sirion).



Working closely with Procurement, Legal, Finance, Digital, and the CLM CoE, the Process Designer will translate strategic intent and operating‑model decisions into clear, executable process designs that drive adoption, control, and value realisation.



Key Responsibilities



1. End‑to‑End Process Design (Buy‑Side CLM)



  • Own the design of end‑to‑end buy‑side CLM processes, covering:
    • Demand intake & procurement front door
    • Contract authoring, negotiation, and execution
    • In‑life contract & obligation management
    • Amendments, renewals, and terminations
    • Financial and compliance touchpoints
  • Design standardised, repeatable processes that can scale across business units, categories, and geographies.
  • Ensure clear separation of responsibilities across Procurement, Legal, Finance, and Business users.

2. Current‑State Assessment & Target‑State Definition



  • Lead current‑state (as‑is) process assessments to identify fragmentation, manual workarounds, control gaps, and value leakage.
  • Define future‑state (to‑be) processes aligned to:
    • Procurement strategy and policy
    • CLM target operating model (TOM)
    • Sirion CLM platform capabilities
  • Clearly articulate process changes, impacts, and benefits for stakeholders.

3. Process Mapping, Standards & Governance



  • Develop detailed process maps, swimlanes, and business rules (L2/L3 where required).
  • Define process standards, guardrails, and design principles for CLM.
  • Ensure processes align with:
    • Internal controls and audit requirements
    • Regulatory and compliance obligations
    • Delegation of authority and approval frameworks
  • Support the establishment of CLM process governance within the Procurement‑led CoE.

4. Platform‑Aligned Process Design



  • Design processes that are natively aligned to Sirion CLM capabilities, including:
    • Clause and template management
    • Obligation and SLA tracking
    • Workflow automation and approvals
    • Claims, exceptions, and compliance reporting
  • Work closely with Business Analysts and Solution Designers to ensure:
    • Process intent is correctly translated into system configuration
    • Minimal customisation and maximum platform leverage

5. Cross‑Functional Stakeholder Collaboration



  • Partner with Procurement, Legal, Finance, BT Sourced, Digital and Architecture teams to agree and embed process designs.
  • Facilitate design workshops and working sessions with senior SMEs and process owners.
  • Act as the single point of accountability for process decisions within the buy‑side CLM scope.

6. Change, Adoption & Value Realisation



  • Ensure process designs are simple, usable, and adoption‑ready.
  • Support change and adoption activities by:
    • Developing SOPs, playbooks, and process guidance
    • Supporting training and enablement sessions
  • Define process KPIs to measure:
    • Compliance
    • Cycle time
    • Value leakage prevention
    • User adoption

7. Continuous Improvement



  • Identify opportunities for process simplification and automation over time.
  • Support backlog prioritisation for future CLM enhancements from a process perspective.
  • Contribute to the evolution of the Procurement CLM operating model.

Required Experience & Skills



Experience



  • 6-10  years experience in process design, process transformation, or operating‑model design within Procurement, Contract Management, Finance, or Legal domains.
  • Hands‑on experience designing processes for CLM or procurement platforms (Sirion, Ariba Contracts, Icertis, etc.).
  • Experience working in large, complex, multi‑stakeholder organisations.

Functional & Domain Expertise



  • Strong understanding of buy‑side procurement and contract lifecycle processes.
  • Deep knowledge of:
    • Contract authoring & approvals
    • In‑life contract & obligation management
    • Renewals, amendments, and commercial governance
  • Ability to design processes that balance control, speed, and usability.

Core Skills



  • Expert‑level process mapping and design skills.
  • Strong facilitation and stakeholder‑management capability.
  • Ability to translate strategic intent into practical, executable process designs.
  • Excellent documentation and communication skills, including for senior leadership audiences.

Ways of Working



  • Comfortable operating in agile / hybrid transformation programmes.
  • High ownership mindset with a strong bias for standardisation and simplification.
  • Collaborative and outcome‑focused.

Preferred Qualifications



  • Certifications in Lean / Six Sigma, BPMN, Agile, or Operating Model Design.
  • Experience in enterprise CLM rollouts or large‑scale procurement transformation programmes.
  • Exposure to governance, controls, and audit frameworks in regulated environments.
