Legal Operations - Contract Lifecycle Management (CLM) Analyst
Role summary: The CLM Senior Analyst, Legal Operations supports the global Legal function by administering the contract lifecycle management (CLM) platform, maintaining contract content and data quality, and driving user communications, training, and process improvements.
This role ensures the CLM system and related processes are maintained, monitored, and continuously improved, and that internal and vendor communications are clear, current, and consistent.
Key systems: Onit, NetDocuments, hCue, iComply, Truyo, CaseIQ, Symphony (MaxVal – IP), and SharePoint.
CLM platform administration: Configure and administer the CLM system; monitor performance; resolve issues; coordinate upgrades and releases.
Content management: Maintain clause, template, playbook, checklist, and automated content libraries (including Liquid-based templates as applicable).
Data quality & reporting: Audit contracts and metadata; reconcile out-of-process agreements; load legacy contracts; perform data monitoring/verification and mapping; produce process metrics and reports.
Governance: Support CLM governance activities (e.g., annual clause review, monitoring checked-out agreements) and maintain policies, procedures, and SOPs.
User support & intake: Triage the Contract Ops group mailbox; provide day-to-day user support and coordinate resolution of requests.
Training & enablement: Develop and refresh user training guides, FAQs, and knowledge-base content; support UAT for legal content and automated clauses.
Communications: Draft and distribute clear updates to the Legal function and vendors (e.g., process changes, billing/representation guidelines, RFP communications); peer review team communications as needed.
Change management: Develop change management plans and materials for CLM enhancements and future phases.
Contract support (as needed): Draft and/or review routine commercial contracts and assist with overflow contract review for the Legal function.
Education: Bachelor of Laws (LLB) or equivalent.
Experience: 2–3 years of relevant experience in contract administration, legal operations, or CLM support.
CLM process knowledge: Understanding of end-to-end contract lifecycle processes, including templates/clauses, approvals, execution, and repository management.
Data & reporting: Experience with contract data extraction, tracking, and reporting; strong attention to data quality.
Systems administration: Experience supporting business applications (configuration, testing/UAT, troubleshooting, and user support).
Communication: Ability to draft clear policies, procedures, and stakeholder communications; vendor communication experience is a plus.
CLM expertise: Hands-on experience with CLM tools and contract repositories; ability to translate process needs into system and content updates.
Stakeholder management: Strong interpersonal skills and ability to build relationships across Legal, IT, and business teams.
Communication: Excellent writing and editing skills; able to distill complex process or system changes for varied audiences.
Analytical & detail-oriented: Strong problem-solving skills; comfortable working with contract data, audits, and reporting.
Execution: Able to prioritize competing demands, work independently, and manage multiple concurrent projects.
Collaboration: Flexible team player with a demonstrated ability to work cross-functionally.
Microsoft 365 proficiency: Outlook/Teams and collaboration tools; Word documentation; Excel reporting (pivot tables) and SharePoint experience are a plus.
