POSITION SUMMARY and CORE RESPONSIBILITIES



Provides administrative and clerical support to relieve department managers or staff of administrative details. Performs a variety of customer facing and clerical functions in a field office in support of service or installation activities. Duties include:



  • Arrange the Installation tools shipment across border,
  • Prepare documentations requirements for Import/Export customs clearance
  • Tracking installation tools and equipment for validation / calibration due date
  • Maintain and remind to all members about the documentation timely submission
  • Collaboration with cross functional teams and other duties to achieve the assigned objectives
  • coordinate shipment requests to foreign countries and prepare import/export supporting documents for customs clearance.
  • Create and maintains the accuracy of customer-related data in SAP / Salesforce.
  • Process installation / post-acceptance documents in SAP / Salesforce.
  • Create purchase requisitions for indirect purchases in Cumulus or SAP and cooperates with the Procurement team to generate purchase orders.
  • Run operational performance reports from business systems as required for management review processes (Electronic Field Service Reports - EFSR's).
  • Keep abreast of products, deliveries, and service rates, and receives training to provide sufficient product knowledge to communicate effectively with internal/external customers on most routine matters.
  • Establish and maintain accurate records, filing, and follow-up systems in accordance with office needs. Trains new hires on procedures and paperwork.
  • May create & enter new customers, install and upgrades into SAP
  • Supports the activities of assigned Install personnel per direction of Installation Management.
  • Support Project Management on ordering Outside Vendor Items, manage end-end process by coordination different stakeholders
  • Supports Regulatory department by checking, validating, completing documentations required for RA Sign-off (Import authorization sign off)
  • Operates automated office equipment
  • Directs customer inquiries on routine matters to appropriate personnel in the field office
  • Train new hires on procedures and paperwork.
  • Schedules appointments, meetings, etc., makes travel arrangements.

  • Good written and spoken command of English, coordination skills

  • Obtains and completes LMS training plan specific to assigned responsibility.

Experience Level with Business Tools



  • Familiar with business tools such as:  E-mail, Microsoft Word, Excel, SharePoint and PowerPoint. 
  • Experience with SAP or equivalent ERP, Salesforce, Power BI product and productivity software desired.
