Purpose of the role



To manage the executive's schedule, handling correspondence, preparing presentations and reports, and providing other administrative support as needed. 




Accountabilities



  • Management of senior executive members calendars and overseeing their timely responses to meeting invitations and requests.
  • Planning and arranging travel itineraries, including flights, accommodation, and ground transportation, ensuring timely and efficient travel for the executive.
  • Proactively anticipating the needs of the senior executive, prioritising tasks, and ensuring timely completion.
  • Management of day-to-day administrative tasks, such as expenses, maintaining filing systems, and ordering office supplies, annual leave records management, distribution list management and organisation management tasks.
  • Management and facilitation of senior executive members meetings.

  • Manage complex executive calendars, ensuring timely responses to meeting requests and optimised planning across time zones.
  • Plan and arrange travel itineraries including flights, accommodation and ground transportation, ensuring efficient and compliant travel.
  • Proactively anticipate needs, prioritise tasks, and ensure timely completion of deliverables in a fast‑moving environment.

Stakeholder Partnership & Professional Presence



  • Act as a trusted point of contact for internal and external stakeholders; manage expectations with clarity and professionalism.
  • Handle complex/sensitive communication with discretion, sound judgement and executive presence. Build networks beyond immediate team

Administrative Excellence & Operational Discipline



  • Develop deep expertise in work area; act as an advisor where appropriate and partner with other functions/business areas
  • Manage day‑to‑day administrative tasks such as expenses, record keeping/filing, distribution lists and organisation management tasks as required.
  • Ensure accurate documentation and adherence to controls across owned activities.

Escalations & Issue Resolution



  • Identify issues early, propose solutions and escalate appropriately; support resolution of scheduling conflicts and delivery risks.

  • Perform prescribed activities consistently to a high standard while driving continuous improvement
  • Contribute to hub standardisation through adoption of playbooks, templates and agreed ways of working (calendar hygiene, comms, travel/expenses).
  • Apply a tech‑enabled mindset—use Copilot/productivity tools to improve turnaround time and quality (meeting summaries, action tracking, draft communications), within confidentiality guardrails.
  • Identify process gaps and improvement opportunities and feed into the BA4 People Leaders/AVP for broader adoption.

Risk, Controls & Governance



  • Take ownership for managing risk and strengthening controls in relation to work owned/contributed to; escalate policy/procedure breaches appropriately.

Knowledge, Skills & Experience



Essential



  • Strong experience in executive support (complex calendar management, travel, expenses, stakeholder coordination).
  • Excellent written and verbal communication with professional executive presence.
  • Strong judgement, prioritisation, attention to detail and confidentiality discipline.
  • Sound understanding of governance/controls requirements in day‑to‑day delivery.

Preferred / Differentiating



  • Digital fluency with Copilot/automation mindset; experience using templates, trackers, and workflow improvements to drive efficiency.
  • Prior exposure to hub/shared services environment or standardisation initiatives.
