The Opportunity:


ApplyBoard is seeking a CRM Systems Analyst to support one of our school partners with owning and evolving their HubSpot ecosystem, enabling high-performing recruitment, admissions, and marketing operations. This role sits at the intersection of business, data, and systems—translating operational needs into scalable CRM solutions that improve conversion, productivity, and decision-making.


What You’ll Be Doing Every Day: 


  • Lead requirements gathering through stakeholder interviews, workshops, and workflow analysis


  • Develop process maps, user stories, and technical specifications


  • Conduct gap analyses on current CRM workflows to identify inefficiencies and breakdowns


  • Maintain and prioritize a backlog of enhancements based on business impact and effort


  • Configure and manage workflows, automation, pipelines, lifecycle stages, and scoring models


  • Enforce governance standards including naming conventions, permissions, and data structures


  • Monitor and resolve data sync issues across systems, partnering with IT as needed


  • Support integrations and middleware tools (e.g., Zapier, Make, APIs)


  • Build dashboards and reports on funnel performance, conversion, campaign ROI, and team productivity


  • Support forecasting and predictive models through clean, structured data


  • Perform segmentation and attribution analysis to improve targeting and engagement


  • Develop SOPs, documentation, and training materials for CRM users


  • Lead onboarding and ongoing training sessions for internal teams


  • Drive adoption of new features, processes, and governance standards


  • Ensure compliance with data privacy and regulatory requirements


What You Bring to the Table:


  • 3–5 years of experience in CRM systems, business analysis, or revenue operations


  • Hands-on experience with HubSpot (Marketing Hub, Operations Hub)


  • Strong understanding of CRM architecture, workflows, and automation logic


  • Experience with reporting and analytics tools (Excel/Google Sheets, CRM reporting, basic SQL)


  • Proven ability to translate business requirements into technical solutions


  • Strong analytical, problem-solving, and documentation skills


  • Excellent communication skills across technical and non-technical stakeholders


  • Experience with student information systems or complex CRM ecosystems


  • HubSpot certifications (Admin, Marketing, Operations)


  • Experience with integrations, APIs, and middleware tools


  • Experience with BI tools such as Tableau or Power BI


  • Exposure to forecasting, predictive modeling, or growth analytics


  • Experience in a high-growth, data-driven organization
