Administrative Coordinator


The Administrative Coordinator is responsible for delivering comprehensive administrative support across the facility, including facility upkeeping and maintenance, travel desk operations, security management, canteen management, front office coordination, and statutory compliance and ensures smooth day-to-day operations and compliance with legal and organizational standards. This role reports directly to the Operations Manager.


Key Responsibilities:


  • Provide timely clerical, administrative, and general support in line with organizational procedures.


  • Monitor and control employee attendance and discipline through the ADP system.


  • Manage facility operations, including maintenance of HVAC, access control, fire alarm systems, office equipment, furniture, and overall upkeeping.


  • Handle employee joining and exit formalities and support contractual workforce hiring.


  • Supervise housekeeping, gardening, and canteen operations to ensure hygiene, food quality, and effective vendor coordination, including periodic reviews and inspections.


  • Oversee security operations, including access control, surveillance, and daily register verification.


  • Manage employee travel, transport, visa processing, and accommodation arrangements.


  • Organize employee engagement activities.


  • Manage inventory, procurement, and stock of office stationery, pantry, and housekeeping consumables.


  • Verify service bills, prepare and track administrative budgets, and ensure cost control.


  • Implement and sustain 5S practices in office and common areas.


  • Ensure compliance with statutory, legal, ISO, PF, Professional Tax, MLWF, waste management, insurance, and contractor audit requirements.


  • Support training initiatives by identifying needs and facilitating skill‑based development programs.


  • Collaborates closely with internal departments including Production, Quality, Planning, Supply Chain, Sales, Finance, and HR, as well as external stakeholders such as suppliers, contractors, and service providers to ensure smooth administrative and operational support.


Experience & Qualifications


  • 6–8 years of experience as an Administrator in a reputed manufacturing organization.


  • Bachelor’s Degree in any general discipline.


  • Knowledge of Computers like MS office & MS Excel


  • Working exp in SAP Environment is advantageous.


  • Operating knowledge of all latest Computer packages is preferable.


  • Working exposure with ISO 9001/14001/45001 are preferable.


  • Good command on languages Marathi, Hindi, English is preferable.
