The Manager – Admin (Building Administrator) is responsible for managing the day-to-day administrative and operational activities of the building. The role ensures smooth functioning of facilities, compliance with regulations, coordination with tenants and vendors, and effective communication with building owners. The position plays a key role in maintaining safety, efficiency, and service standards across the premises.
Serve as the primary point of contact for tenants, staff, contractors, and visitors.
Oversee daily building operations, including housekeeping, maintenance, and security services.
Plan, coordinate, and monitor repairs, preventive maintenance, and statutory inspections.
Maintain accurate records of maintenance activities, contracts, compliance documents, and tenant communications.
Prepare and monitor budgets related to building services and administrative expenses.
Support leasing administration, including tenant onboarding, exits, and space allocation.
Monitor access control and security systems; issue, track, and manage keys and access cards.
Manage service contracts and coordinate with vendors and legal advisors to ensure SLA compliance.
Handle tenant complaints and service requests in a timely and professional manner.
Coordinate with municipal authorities for property tax, regulatory issues, and grievance redressal.
Manage bank-related documentation and transactions supporting building administration.
Assist building owners with administrative coordination and documentation.
Provide regular updates to building owners through phone calls and WhatsApp communications.
Ensure compliance with safety, legal, and operational standards at all times.
Minimum High School Diploma (Associate’s or Bachelor’s Degree preferred).
3 to 5 years of experience in building administration, facility management, or related roles.
Basic knowledge of property management and maintenance operations.
Strong verbal and written communication skills in English.
Proficiency in Microsoft Excel and basic MS Office tools.
Good organizational and documentation skills.
Ability to manage multiple tasks and prioritize effectively.
Strong coordination and vendor management abilities.
Problem-solving and conflict resolution skills.
Professional attitude with strong interpersonal skills.
Ability to work independently and take ownership of responsibilities.
