Role & Responsibilities:
Job Title: Accounting Associate
Location: On-Premises
Reports To: Accounting Manager
Overview:
The Accounting Associate is a detailed oriented and reliable personnel that will support our finance and operations teams in a fast-paced construction environment. The ideal candidate will bring experience in payroll processing, accounts payable, and project administration, with a strong understanding of construction industry practices such as job costing, payroll, subcontractor compliance, and billing documentation. This role is key to ensuring the financial accuracy and operational efficiency of our projects and back office. This role ensures smooth financial operations across multiple projects and companies, including Greymane, Kaissa, and Builders Depot.

Key Responsibilities:
Payroll
- Take ownership of weekly/monthly payroll for field and office employees across all three entities
- Collect and verify time entry data from field supervisors and time tracking systems
- Ensure proper coding of labor hours to job cost and categories
- Support payroll reports and government payroll requirements
- Ensure all governmental and private withholding and contributions (including Payroll Tax, Social and Health Insurance and Pension) are reconciled, reported and remitted on a regular basis
- Maintain accurate employee records and support new hire documentation
Accounts Payable
- Support Accounts Payable team
- Review and enter vendor invoices, ensuring correct job and cost code allocations
- Match purchase orders, packing slips, and invoices for accuracy
- Maintain vendor records and track project documents
- Reconcile vendor statements and resolve invoice discrepancies
- Prepare weekly pay runs and electronic payments
Project Administration
- Support project managers in tracking budgets, commitments, and change orders
- Maintain organized digital and physical project files
- Assist in preparation of project billing packages, including AIA documents and backup
- Monitor subcontractor compliance, insurance expiration, and licensing
- Generate and update job cost and project status reports as needed
Skills
Qualifications:
- Associate’s or Bachelor’s degree in Accounting, Finance, or Business Administration, with CPA (equivalent) designation
- 5 years of experience in accounting or administrative support in the construction industry
- Experience in accounting and construction software (e.g., Sage 300 CRE, QuickBooks Desktop Enterprise, hh2, Exaktime, Kojo)
- Strong working knowledge of payroll, AP processes, and job cost tracking
- Excellent attention to detail and ability to manage multiple priorities
- Effective written and verbal communication skills
- Self-motivated and collaborative team player
- Strong Microsoft Excel skills (pivot tables, formulas, basic modeling).
- Proficiency in Microsoft Word, Outlook
