PRIMARY TASKS:


  1. Provides comprehensive level of assistance to ensure smooth and efficient operations.
  2. Provides high level of administrative and clerical support to the unit, department or function.
  3. Prioritizes and manages multiple projects simultaneously, and follows-up on issues in a timely manner.
  4. Collects and prepares background documents for various tasks.
  5. Follows the university rules and regulations.
  6. Undertakes special projects to meet the objectives of the department.
  7. Monitors records of goods ordered and received.
  8. Monitors accurate purchase order prices and vendor cataloging.
  9. Ensures that all assigned purchases are budgeted and have the necessary approvals.
  10. Ensures that AU purchases are in compliance with the university procurement policies and procedures.
  11. Supports the development of AU purchasing policies and procedures for the implementation of standards that represent best purchasing methods while conforming to regulations and laws governing the institution.
  12. Assists in developing and maintaining excellent working relationships with all departments and external suppliers through understanding their purpose and objectives.
  13. Tracks all Purchase Requisitions and Purchase Orders.
  14. Reviews suppliers list for all purchasing categories.
  15. Continually evaluates products and services offered by existing and prospective vendors.
  16. Reviews shortage lists and prioritizes urgent requirements.
  17. Stock Control.
  18. Compiles necessary analytical, weekly and monthly reports.
  19. Maintains complete updated purchasing records/data and pricing in the system.
  20. Inspects all invoices and receives reports to determine if quantity ordered matches quantity received; reviews prices and payment terms to ensure agreement with purchase order.
  21. Maintains knowledge relating to current technology, vendor competence and competitive marketing conditions as they relate to the requirements of AU.
  22. Undertakes other duties as required by the Manager- Purchasing
