Job Purpose:
The Sr HR Specialist is responsible for payroll and benefits administration, and employee benefits programs. Responsible for having overall knowledge of all human resource functions and as a key liaison for onboarding and offboarding process within the organisation. Promotes and maintains the organization values and culture by providing exceptional communication and service to employees. Sets the example of an engaged employee and supports employee engagement.
Responsibilities:
Payroll Administration
Responsible for timely, accurately, and compliantly processing the consolidation of monthly payroll data and statutory payment and bonus allocation.
Develop in depth understanding and champion the user interface of the payroll software and HRIS.
Audit and process payroll documents.
Process employee data for new hires, changes, termination, additional earnings, etc.
Prepare and maintain employee files, assuring accuracy, compliance, and confidentiality.
Responsible for month-end duties including processing HR related invoices and ensuring timely payment, submitting Payroll summary report to finance payroll accrual (Bonus & Leave accruals) and general ledger reconciliation.
Benefits Administration
Employee On-boarding: Coordinate the onboarding formalities for the new employee which includes benefits enrollment, company forms, tax forms, IT and Administration formalities.
Letter Generation: Issue confirmation, Offer and termination as required. Ensure that employee forms and updates new joiners/resignees on Timesoft.
Employee Service: Assist employees regarding benefits claim issues and plan changes. Respond to benefits inquiries on benefits enrollments and status changes. (e.g. medical, insurance, leaves, attendance management).
Expat Management: Coordinate EP Renewal, EP Cancellation, Passport endorsement and initiate bank payment when required.
Vendor Management: Work with Senior HRBP for escalated support needs, including but not limited to plan design, claims administration, appeals and HRIS data integrity.
Employee Education: Prepare and setup meetings designed to help employees obtain information and understand company benefits.
Wellness & Plan design: Work with the Senior HRBP to organize wellness events and provides resources for employees. Establish initiatives and programs that help employees attain optimal health. Works with insurance provider to conduct annual benefits review.
Data Integrity: Ensure the accuracy of all benefit enrollments and provide vendors with accurate eligibility information. Update HRIS database with new and changing information; ensures accuracy and integrity of information. Responsible for employee benefit file maintenance and storage retention requirements.
General HR duties
Participate in the new employee onboarding experience.
Provide benefit support to HR partners (vendors, team members, management).
Develop in-depth understanding of HRIS and all vendor enrollment systems and websites.
Ensure all required reporting, forms, and posters are up to date and maintained accurately.
Participate in developing Human Resource department goals, objectives, and systems.
Participate in Team Meetings and provides backup of duties for HR Team.
