Job Summary:
We are seeking a detail-oriented
and customer-focused Order Management Executive to manage the end-to-end
order fulfilment process, ensuring accurate order processing, timely
deliveries, and exceptional customer service. The successful candidate will
coordinate with clients, vendors, warehouse teams, and logistics providers to
ensure smooth order execution while maintaining high levels of accuracy,
efficiency, and customer satisfaction.
Key Responsibilities
Order Processing &
Administration
- Receive, review, and process customer orders through various channels, including email, phone, and online platforms.
- Verify order details, pricing, product configurations, and delivery requirements before processing.
- Ensure all orders are accurately entered into the system and processed within established timelines.
- Maintain and update order records, customer information, and transaction details.
Customer Service &
Communication
- Serve as the primary point of contact for clients regarding order-related inquiries.
- Provide regular updates on order status, delivery schedules, and shipment tracking information.
- Address customer concerns, resolve issues promptly, and ensure a positive customer experience.
- Build and maintain strong relationships with customers through professional communication and support.
Vendor & Logistics
Coordination
- Liaise with vendors and suppliers to confirm order requirements and product availability.
- Coordinate order pickups, deliveries, and transportation logistics.
- Track shipments and proactively resolve any delivery delays or discrepancies.
- Ensure orders are delivered on time and in accordance with customer expectations.
Inventory & Supply
Coordination
- Monitor inventory levels and stock availability.
- Coordinate with warehouse personnel to ensure sufficient stock is available to meet customer demand.
- Support inventory planning activities by identifying potential stock shortages or replenishment needs.
- Assist in maintaining accurate inventory records and reporting.
Quality Control &
Compliance
- Conduct quality checks on incoming and outgoing orders to ensure compliance with customer specifications and company standards.
- Verify the accuracy of order documentation, invoices, delivery notes, and shipment records.
- Ensure adherence to company policies, procedures, and operational guidelines.
Financial & Documentation
Support
- Prepare and review quotations, invoices, and related documentation.
- Support invoicing, payment follow-ups, and accounts receivable processes.
- Ensure accuracy in financial and transactional records.
- Maintain organized documentation for audit and reporting purposes.
Process Improvement
- Identify opportunities to improve order management processes, customer service, and operational efficiency.
- Recommend solutions to streamline workflows and reduce processing errors.
- Support the implementation of process enhancements and best practices.
Additional Responsibilities
- Perform ad-hoc administrative and operational tasks as assigned by management.
Qualifications & Experience
- Bachelor's Degree or Diploma in Business Administration, Logistics, Supply Chain, Commerce, or a related field.
- Minimum 2-3 years of experience in order management, sales administration, logistics coordination, customer service, or a related role.
- Experience working with ERP systems and order management software is an advantage.
