Role OverviewThe Executive Assistant (EA) to the CEO is a high-trust, high-impact role at the center of Locus’ operating rhythm. You’ll run a world-class CEO office: protect focus, reduce decision latency, anticipate what’s coming next, and ensure key meetings, communications, and leadership moments are exceptionally prepared and smoothly executed.
This role is ideal for someone who combines sharp judgment, calm execution under pressure, and an obsession with structure—while operating with discretion and excellent stakeholder management across time zones.
Key ResponsibilitiesExecutive Operations & Time Management- Manage the CEO’s calendar end-to-end, including scheduling, reminders, and coordination across multiple time zones
- Prioritize meetings and protect CEO bandwidth by optimizing schedules and managing conflicts proactively
- Ensure all meetings are well-prepared with agendas, pre-reads, documents, and context
- Track tasks, action items, and follow-ups to ensure timely completion
Travel & Logistics Management- Handle end-to-end travel planning including flights, hotels, visas, and ground transportation
- Manage expense tracking, bills, invoices, and reimbursements
- Ensure seamless execution of travel plans with contingency handling for last-minute changes
Stakeholder Management & Coordination- Coordinate effectively with internal and external stakeholders
- Maintain strong relationships with senior leadership, EAs, and cross-functional teams
- Ensure smooth communication and alignment across teams
Leadership Cadence & Events- Coordinate leadership meetings, All Hands, Town Halls, and key events
- Partner with internal teams (People, IT, Marketing, Facilities) for execution
- Manage logistics, vendors, and run-of-show for events
Operational Excellence- Handle last-minute changes, cancellations, and urgent requests smoothly
- Maintain high levels of confidentiality and discretion at all times
Requirements- 5–10+ years of experience as a Personal Assistant / Executive Assistant supporting senior leadership or CEOs
- Strong organizational and multitasking skills with the ability to manage competing priorities
- High attention to detail and strong execution capability
- Comfortable working across time zones and flexible with working hours
- Strong written and verbal communication skills
- Ability to handle pressure and stay calm in dynamic, fast-paced environments
- Proactive mindset with strong ownership and accountability
Good to Have- Experience supporting founders or CEOs in high-growth environments
- Familiarity with tools like Google Calendar, Slack, and expense management tools
- Basic understanding of AI tools (e.g., ChatGPT) for productivity and workflow optimization
