Job Description

We're looking for an experienced Assistant Manager to join our team in Gurgaon, India. In this senior-level administrative role, you will provide comprehensive support to executive leadership and cross-functional teams. The ideal candidate will demonstrate exceptional organizational skills, professional demeanor, and the ability to manage complex administrative operations with efficiency and precision. You will be instrumental in streamlining processes, coordinating high-level initiatives, and ensuring seamless day-to-day operations across the organization.


  • Manage executive-level calendars, scheduling, and meeting coordination with meticulous attention to detail and competing priorities
  • Prepare, organize, and maintain comprehensive documentation, reports, and records using established filing systems and digital databases
  • Coordinate meetings and events, including agenda preparation, minutes documentation, and follow-up communications
  • Arrange and manage travel logistics, accommodations, and expense reporting for executives and team members
  • Communicate professionally with internal departments, external vendors, and stakeholders to facilitate business operations
  • Maintain and optimize administrative databases, systems, and processes to improve organizational efficiency
  • Support project coordination activities by tracking timelines, deliverables, and resource allocation
  • Mentor and provide guidance to junior administrative staff, fostering a collaborative and professional work environment
  • Identify opportunities for process improvement and implement solutions to enhance operational efficiency
  • Manage confidential information with discretion and maintain the highest standards of professionalism
  • Perform additional administrative duties as assigned to support organizational objectives

Qualifications
  • 12+ years of progressive experience in administrative roles, with at least 3 years in a senior administrative capacity
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and email management systems
  • Demonstrated expertise in scheduling software, calendar management tools, and organizational systems
  • Meticulous attention to detail and commitment to accuracy in all administrative tasks
  • Experience supporting executive-level leadership or senior management teams
  • Proficiency in database management and digital filing systems
  • Excellent interpersonal skills with a supportive and collaborative approach
  • Preferred: Experience with project management tools, CRM systems, or data analysis software
  • Preferred: Advanced Excel skills, including pivot tables and data visualization
  • Preferred: Administrative Professional Certification or equivalent professional credential
  • Preferred: Experience with presentation software and report generation
