Role Overview

The Executive Operations Manager will serve as a strategic extension of the CEO, helping drive priorities, operational execution, and cross-functional initiatives across the organization. The Executive Operations Manager will manage projects, conduct research, improve business processes, coordinate communication, and provide operational support wherever needed. This role is ideal for a highly organized, resourceful professional who thrives in fast-paced environments, exercises strong judgment, and enjoys solving problems independently while supporting executive leadership.

Key ResponsibilitiesExecutive Support & Prioritization
  • Act as a trusted extension of the CEO to help manage priorities and key initiatives.


  • Anticipate challenges and proactively identify solutions.


  • Support executive decision-making through research, analysis, and execution.


  • Help ensure strategic initiatives continue moving forward.


Project Ownership & Execution
  • Independently manage projects from planning through completion.


  • Coordinate cross-functional initiatives involving operations, sales, customer support, and leadership.


  • Track timelines, deliverables, and action items.


  • Ensure accountability and project follow-through.


Research & Strategic Support
  • Conduct research on software platforms, vendors, partnerships, hiring initiatives, and operational improvements.


  • Gather information and evaluate potential solutions.


  • Present actionable recommendations to leadership.


  • Support strategic initiatives and special projects.


Operational Support
  • Step into operational gaps across the organization as needed.


  • Support workflow optimization and process improvements.


  • Coordinate communication across departments and stakeholders.


  • Help improve day-to-day operational efficiency.


Administrative Support
  • Coordinate executive scheduling, meetings, and travel arrangements.


  • Assist with inbox management and communication prioritization.


  • Support executive follow-up activities.


  • Handle ad hoc operational and administrative requests.


AI & Process Improvement
  • Utilize AI tools to improve productivity and operational effectiveness.


  • Build workflows that automate repetitive tasks.

Qualifications Experience
  • 3+ years of experience in operations, project management, executive support, business operations, or similar roles.


  • Experience supporting senior leadership or business owners.


  • Experience managing multiple projects simultaneously.

  • Experience conducting business research and supporting strategic initiatives.


  • Experience improving operational processes and workflows.
